Automated Versapay Short Payment Investigation Queue

Every morning, WebRun opens Versapay, identifies payments received that are below the invoiced amount, logs each short payment with its variance and available remittance to a Google Sheets investigation queue, and sends a Slack alert to your AR team so every underpayment is investigated and resolved.

In short

How do I automatically track and investigate short payments from Versapay?

Every morning, WebRun checks Versapay for payments received below the invoiced amount and logs each short payment to a Google Sheets investigation queue with the customer, invoice, variance, and remittance note. A Slack alert tells your AR team the total variance value and flags items over 5 days old so every underpayment is investigated before it ages into a write-off.

  • Every short payment surfaced and queued for investigation the same day it is received
  • Aged unresolved variances flagged before they become write-offs
  • AR team spends time resolving, not searching for, underpayments

Built for AR teams · deductions specialists · credit controllers · companies with large customer payment volumes

Questions, answered

Does it write off or adjust the short payment automatically?

No. WebRun only surfaces and logs the short payment for your team to investigate. Any write-off, credit memo, or deduction approval requires a human decision and must be processed manually in Versapay or your ERP.

What if the short payment is a legitimate deduction?

That determination is made by your AR team after reviewing the queue. The remittance note and variance amount are logged to help the team quickly identify whether the short pay is a pricing dispute, early-pay discount, or deduction.

Can it contact the customer about the underpayment?

Not automatically. Any outreach to the customer about a short payment is drafted separately and requires your team's approval before sending, ensuring no customer communication goes out without human review.
