How to Automate Moovs
Moovs follows up leads through its CRM add-on, and on the Enterprise plan Miles answers website visitors and quotes from your rates. For operators on Standard or Pro, and for quotes and accounts a rule misses, an AI agent such as WebRun drafts replies to new inquiries, follow-ups on wedding and prom quotes and check-ins with quiet corporate accounts.
A Moovs trip starts as a quote and keeps its vehicle, driver and payment
Moovs is booking, dispatch and payments software for ground transportation: chauffeur and limo operators, party bus companies, shuttle providers, bus and coach operators and taxi companies. A trip in Moovs starts as a quote and carries its reservation, vehicle, driver and payment from then on.
Customers book through the operator's website or a customer portal, and dispatch sees whether a vehicle is free before a quote goes out, so the same party bus is not promised to two proms. Drivers work from the driver app, subcontractors get driver links with real-time updates, and wake-up calls and custom texts reach drivers and clients on the day. The Standard plan, at $149 a month, adds contract e-signature and automated trip reviews; Pro, at $199, adds dynamic pricing and custom notifications.
Prom season is decided by the quotes sent in February
A party bus company's year turns on a handful of weekends: proms and homecomings, wedding season, holiday parties. The quotes for those go out months ahead and sit as Pending or Quoted while the couple compares three companies and the prom committee waits for a parent to sign.
A new inquiry arrives at nine at night from someone who wants a Sprinter van for Saturday, and by breakfast they have asked two other companies. The corporate account that booked airport runs every week last spring has not booked since June, and nobody has called to ask why.
The 24-passenger bus is due for an oil change and its registration renewal, both tracked in the fleet manager's spreadsheet, and the bus is booked solid through homecoming.
Moovs follows up leads through its CRM add-on and, on Enterprise, Miles
The Moovs CRM, a $99-a-month add-on, segments customers by trip type, frequency, spend or location. It sends messages on its own: a we-miss-you note after an idle period, a review request after a trip, and email and SMS follow-ups so leads do not slip. It also gathers Google and Yelp reviews in one place.
On the Enterprise plan, from $999 a month, Miles answers website visitors from the operator's own rates and vehicles, generates quotes, books trips into Moovs and captures the details of visitors not ready to book. It also sorts the team's email into quotes, bookings and invoices, gives a daily briefing and answers questions such as which quotes over $500 are still open. Enterprise adds an AI-powered driver scheduler as well.
A CRM workflow sends the same message to everyone its rule picks. A corporate account whose bookings fell by a quarter, a prom quote that has sat for a week and a bus near its oil change are three separate lists, and the last of them lives in the fleet manager's spreadsheet.
Each new inquiry has a reply drafted within minutes
The owner has a reply in Gmail drafts within minutes of each new inquiry in Moovs. It repeats the trip the customer asked for, quotes a range and says the date is tentatively held, and the sales channel in Slack names the rep who should send it.
The sales lead works through a follow-up draft for every wedding, prom or event quote that has sat unanswered, each warm for a wedding and specific about the date and the vehicle. The pipeline in Slack lists those quotes with their value and the days since each went out.
On Mondays the account manager goes through check-in drafts for the corporate accounts that have gone quiet, each mentioning upcoming trips, events or airport runs, and the at-risk list in Slack gives every account's last booking and trend. A Monday post in the operations channel puts overdue services first for the fleet manager, then each vehicle coming due for an oil change, tire rotation, inspection or registration renewal.
Quotes and check-ins leave Moovs as Gmail drafts
Every draft above began as a filter in Moovs: quotes by status, corporate accounts by their last booking, inquiries by the minute they arrived. WebRun is an AI agent that works a real Chrome browser, signed in as you. In Moovs it filters and reads, and quotes, rates and trips change only when the owner or the dispatcher changes them.
The owner or the rep sends every reply from Gmail, and a reply that says a date is held commits nothing until the owner confirms the trip in Moovs. On Enterprise, Miles already answers website visitors, so the new-inquiry reply matters most to operators on Standard or Pro and to inquiries that arrive outside the website.
Questions people ask
Which quotes count as open?
Quotes tagged Wedding, Prom, Event or a similar occasion that are still Pending or Quoted more than 24 hours after they were sent. Events less than 90 days away are flagged at the top of the Slack pipeline.
How quiet does a corporate account get before it is flagged?
No booking in the past 30 days, or bookings down 25 percent or more on the month before. Accounts silent for more than 60 days are marked high priority in the weekly digest.
What puts a vehicle in the Monday maintenance post?
Coming within 500 miles or 14 days of an interval in the fleet manager's maintenance spreadsheet in Google Sheets, whether an oil change, a tire rotation, an inspection or a registration renewal. Overdue items lead the post.
