How to Automate Lever
Recruiters automate the pipeline itself with Lever's automation workflows, which move, email or archive a candidate on a stage change, and with Easy Book links for interview slots. Chasing feedback, entering agency CVs and building the Monday report sit outside Lever; WebRun can do them from a browser, leaving every candidate email for a recruiter to send.
Lever remembers the candidates you did not hire
The engineer who reached the final round in March and lost out to someone with one more year of experience is still in Lever. Lever combines an applicant tracking system with a recruiting CRM, so the people a team did not hire sit in the same database as the people it did, and its talent rediscovery searches them when the next role opens. Nurture campaigns keep in touch with those talent pools in between.
Day to day it runs the pipeline. Each posting has its stages, and recruiters, coordinators and hiring managers share one view of who is where. Recruiters post openings to job boards from inside Lever, and offers go through an approval chain before anyone sends them.
Lever is published as Lever by Employ, the company that also owns JazzHR and Jobvite, and it sells to small, mid-sized and enterprise organizations.
Candidates stall in stages while feedback waits
A hiring manager interviews on Tuesday and leaves the feedback form empty until Friday, so the candidate cannot move on. Another candidate sits in phone screen for two weeks because nobody noticed. A recruiter retypes a CV that an agency submitted through its own portal, after checking Lever for a duplicate, and a coordinator copies a take-home test score from the assessment tool onto the profile by hand.
Hiring managers ask in Slack where a candidate has got to, and the recruiter opens Lever to answer, several times a day.
On Monday the head of talent wants time to fill, stage-by-stage conversion and every stalled role in a spreadsheet for leadership, and a recruiter spends the morning building it. The recruiter writes the rejections to finalists last, although those are the ones that ought to be personal.
Stage-change workflows and Easy Book handle the admin inside Lever
An automation workflow in Lever fires when an opportunity moves to a new stage, and it can move the opportunity on again, send an email, or archive it with a rejection email sent after a delay. Easy Book links let a candidate pick an interview slot from the interviewers' calendars synced to Lever. Postings reach more than 200 job boards in one click, and funnel conversion reports show where candidates drop out.
Each of those starts from something Lever already holds, a stage change a person made or a calendar someone synced. Lever's partner ecosystem connects HRIS, background check and assessment tools, and where a connection exists, results land on the candidate's profile.
Outside all of it sit an agency's own portal, an assessment tool with no connector and leadership's spreadsheet, along with the chasing that gets a hiring manager to fill in the feedback form a stage change waits on.
Leadership can have the Lever numbers before the Monday meeting
The head of talent reads Monday's numbers in the leadership sheet the team already uses: time to fill, days in each stage and the roles that went quiet, all taken from Lever's own reports. A hiring manager with an empty feedback form gets a reminder in the recruiter's voice, naming the candidate and the interview date. The recruiter sees which candidates have sat in one stage past the limit the team set.
The recruiter reviews agency CVs inside the right Lever posting, already checked against existing profiles and credited to the agency that sent them. The coordinator schedules the next round with the take-home score already on the profile.
When the hiring team turns down a finalist, the recruiter reads and sends a rejection drafted from the interview notes. A week after interviews end, each candidate can get a short survey on how the process felt, which the recruiter approves first. Once an offer is accepted, the HR team sees the start date in the HRIS and the IT request queue, whether or not either has a Lever connector.
A recruiter sends every candidate email the agent writes
A coordinator doing this by hand opens Lever, two agency portals and the assessment tool every morning, then writes up what changed.
WebRun is an AI agent that works a real Chrome browser, signed in as you. With a Lever account you choose, plus the logins for the agency portals and the shared sheet, the agent brings the pipeline up to date in the places Lever does not reach.
The recruiter sends each rejection and survey from their own drafts, after reading it. The agent changes a candidate's stage only under rules the team sets, and archiving stays with the recruiter. Rejection drafts and the Monday time-to-fill report are both set up in the list that follows.
Questions people ask
Who sends the rejection emails, the agent or the recruiter?
The recruiter. The agent writes each rejection from the interview notes and leaves it in the recruiter's drafts, because a message to a candidate cannot be unsent.
Can it add candidates sent by recruitment agencies?
Yes. Before any candidate from an agency's portal or submission email goes into Lever, a search for an existing profile makes sure nobody is added twice; the candidate then joins the right posting with the agency credited, or waits on a list for the recruiter to confirm.
Can the Monday report keep our own spreadsheet layout?
Yes. The numbers come from Lever's own reports and go into the sheet and columns you already use, so leadership reads the same layout every week.
