How to Automate ChurnZero

ChurnZero's Plays, Journeys and alerts act on the ChurnScore and on data from its 70-plus integrations, which cover CRM, support, billing and training tools. A reseller's seat count, a billing portal outside that list or a new software review reaches the account by CSV or by hand; WebRun, a browser-based AI agent, can gather it instead.

Each ChurnZero account carries a ChurnScore built from the team's own metrics

A customer success manager at a software company can carry dozens of accounts, and the job is spotting which of them is drifting toward not renewing, early enough to change it. ChurnZero is customer success software for that job.

Each account carries a ChurnScore built from the metrics the team chooses: account attributes, engagement, product usage, support history, and surveys such as NPS and CSAT. Plays send in-app messages, emails and WalkThroughs and hand tasks to the CSM when an account meets a trigger, and Journeys guide a customer along a path to a goal against an expected timeline.

The CSM works from the Command Center and the account profiles, and the CS operations lead builds the scores, segments and plays behind them. The Renewal and Forecast Hub forecasts renewals, expansions, contractions and churn for the VP of customer success.

The QBR deck is built from screens outside ChurnZero

The CSM preparing a quarterly business review opens the finance team's billing portal to see whether last quarter's invoice was paid or the card failed, because that billing tool was never connected. For accounts bought through a reseller, the seat count and renewal date sit in the partner's portal. Certifications earned on a training platform outside the integrations get checked by hand, and the CS operations lead uploads a CSV of them once a month.

When the VP of customer success asks for the renewal forecast by segment, the CSMs recheck each partner-sold account by hand before anyone trusts the number.

By the time the deck is ready, its numbers are a week old, and the morning has gone on it instead of on the three accounts whose scores moved this week.

Renewal prep done ninety days out Payment history, reseller seat counts and earned certifications gathered onto the account, with a task for the CSM to review them.
An at-risk ChurnScore explained the same day When an account's ChurnScore moves into the at-risk range, the billing portal, the partner portal and review sites are checked, and one note says what changed.

ChurnZero's 70-plus integrations cover billing, support and training tools

More than 70 native integrations feed ChurnZero: Salesforce and HubSpot for CRM records, Zendesk, Freshdesk and ServiceNow for tickets, Stripe and Chargebee for billing, Absorb LMS, Skilljar and Northpass for training, and Snowflake and Google BigQuery for anything already in a data warehouse. The Renewal and Forecast Hub syncs with the CRM every 15 minutes.

Its AI agents work on that data. Beacon spots buying intent, Harbinger detects relationship risk, Vibes surfaces early changes in customer signals and Scribe drafts replies; Snapshot AI writes an executive-ready account snapshot, and Engagement AI reads the sentiment in a customer's messages.

A billing portal outside that list, a reseller's partner portal or a software review site shows its figures on its own screens, and the CS operations lead's fallback is a CSV import. Until that file goes in, the ChurnScore and the renewal forecast are built without them.

At-risk accounts carry their billing and reseller facts

When an account's ChurnScore moves into the at-risk range, the CSM gets one note on the account that day: whether the last invoice was paid, whether the reseller changed the seat count, whether someone at that customer posted a new review on a software review site.

Ninety days before a renewal, the account already holds its payment history from the billing portal, the seat count from the partner's portal and the certifications its users have earned, with a task for the CSM to review them. The VP's forecast by segment includes the partner-sold accounts without a recheck. When a reseller adds seats on the partner portal mid-term, the account's seat count in ChurnZero changes that week, and the CSM sees the expansion before the renewal call.

A detractor's NPS comment becomes a ticket in the product team's feedback tool, with the account attached and a reply drafted for the CSM. The monthly CSV of training completions gives way to a weekly read of the training platform.

Renewal facts come in from the partner and billing portals

Payment history, the reseller's seat count and the certification list come from three places for every account renewing this quarter. WebRun is an AI agent that works a real Chrome browser, signed in as you. The billing portal, the partner portal and the training platform each get a visit under your team's logins, and what turns up goes into ChurnZero as notes, tasks and field values.

The CS operations lead decides how each ChurnScore is calculated, and a field the agent fills counts toward a score only if the lead made it part of one.

Most of the ChurnZero jobs here start from its own signals: a new survey response, a score in the at-risk range, unused seats, a key feature never adopted. Renewal prep runs every Monday for accounts renewing within 60 days.

Questions people ask

Can it replace the CSV files we upload every month?

For the recurring ones, often. It reads the source system on a schedule and writes the values onto the accounts, or prepares the file in the format the import expects for the CS operations lead to check and upload.

Is billing data from Stripe already covered?

Yes. Stripe and Chargebee are among ChurnZero's native integrations, so payment data from them arrives without the agent, which is for what sits outside the list: a reseller's portal, review sites or a billing system without a connector.

Will it pick up new reviews of our product?

Yes, for the sites your team names. It reads new reviews and, when one names a company you serve, notes it on that account for the CSM.
