How do I automatically route transcribed voicemails to the right queue?
Every few minutes, WebRun checks Twilio for new voicemails and reads the transcript, matches the line it came in on to the right client account and department in Amtelco, and routes the transcript into that department's queue. It checks Google Calendar for who is currently on duty and tags the transcript to them, so a routed voicemail actually surfaces to a working person, not an empty queue.
- Voicemails reach the right department queue within minutes of being left
- Unmatched voicemails land in a review queue instead of getting lost
- Every routed transcript is tagged to whoever is actually on duty to see it

1
Twilio - transcribe new voicemails
WebRun opens Twilio to transcribe new voicemails. - Check Twilio for voicemails left in the last few minutes and read the auto-generated transcript
- Capture the caller's number, the line it came in on, and the transcript text
Done when Every new voicemail has a captured transcript and source line.
-
2
Amtelco - match the transcript to the right department
WebRun opens Amtelco to match the transcript to the right department. - Match the line the voicemail came in on to the client account and department it belongs to
- Route the transcript into that department's queue in Amtelco
- If the line does not match any account on file, route it to a general review queue instead of guessing
Done when Every transcript sits in the correct department queue, or a general review queue if unmatched.
-
3
Google Calendar - find who is currently on duty
WebRun opens Google Calendar to find who is currently on duty. - Check who is marked on duty for that department right now
- Tag the queued transcript with that person's name so it surfaces to whoever is actually working

How is each run configured?
Secure by default
Connect once, stays signed in

Every action is checked against this policy before it runs.
Questions, answered
Does it reply to the caller who left the voicemail?
No. It only transcribes and routes the voicemail internally. Nobody outside your team hears from WebRun as part of this workflow.
What happens if the line does not match a known client?
It routes the transcript to a general review queue instead of guessing which department it belongs to, so an unmatched voicemail still gets seen, just not misfiled.
How accurate is the transcript?
It uses Twilio's own voicemail transcription, so accuracy matches whatever Twilio produces. WebRun does not rewrite or clean up the wording, it routes it as generated.
