Automated Practice Fusion Vial Reorder Alerts

Every morning, WebRun opens Practice Fusion and scans patient allergy serum records for vials with fewer than three doses remaining, drafts a reorder request email for staff to review and send, and posts a low-vial alert list to Slack so the clinic never runs a patient out of serum mid-course.

In short

How do I automatically get alerts when allergy serum vials are running low?

WebRun scans Practice Fusion every morning for allergy serum vials running low, drafts a reorder request email in Gmail for each flagged vial, and posts the low-vial list to Slack. No email leaves until a staff member reviews and approves it, keeping patient data secure and preventing mid-course serum shortages.

  • Vial depletions are caught days before the patient's next appointment
  • Staff spend minutes reviewing drafted reorder emails rather than building them from scratch
  • No patient faces a treatment delay due to an unnoticed empty vial

Questions, answered

Will it send the reorder email to the pharmacy automatically?

No. WebRun drafts each reorder email in Gmail and leaves it unsent. A staff member must review and send it. Patient information is never transmitted externally without human approval.

How many doses remaining triggers the alert?

By default, three or fewer doses remaining triggers the flag. You can tell WebRun to adjust this threshold when you set it up, for example to five doses for high-frequency patients.

What if a new vial set was already ordered but not recorded yet?

WebRun reads live chart data in Practice Fusion on each run. Once a new vial set is logged, that patient drops off the alert list automatically the next morning.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
