In short

How do I automatically route new allergy patient referrals to the right provider?

WebRun opens Practice Fusion every morning and finds new allergy patient referrals received since the prior day. It reads each referral reason and insurance, applies your routing rules to assign a provider, logs every assignment to Google Sheets, and posts the queue to Slack. Staff confirm and schedule without manually triaging a stack of referral faxes.

  • Every new referral is assigned a provider the same morning it arrives
  • Urgent same-week referrals are flagged before staff even open Practice Fusion
  • Referrals with missing insurance are caught before scheduling, not after the appointment

Built for allergy and immunology clinics · front desk staff · practice managers · care coordinators

Questions, answered

Will it contact new patients or referring providers automatically?

No. WebRun routes and logs referrals internally for staff to act on. Any outreach to a new patient or their referring provider must be initiated by a staff member after reviewing the routing queue, ensuring accurate scheduling and HIPAA-compliant communication.

How does it decide which provider to assign?

You configure the routing rules when setting up the run: for example, food allergy referrals go to Provider A, biologic management to Provider B, and pediatric asthma to Provider C. WebRun applies your rules consistently and flags anything that does not match a rule for manual review.

What if a referral is missing insurance information?

New patients with missing insurance are flagged in both the Google Sheet and the Slack post so staff can verify coverage before scheduling. WebRun does not route incomplete referrals to a provider without a note for staff to follow up.
