Automated Class Coverage Alerts
Every morning, WebRun opens Momence, checks upcoming classes for the next 48 hours, flags any that are uncovered or have a recently removed instructor, drafts a substitute-teacher request via Twilio for your team to approve and send, and posts the uncovered class list to Slack so nobody is caught off guard.
How do I automatically detect and fill uncovered yoga classes when a teacher is absent?
WebRun checks Momence every morning for classes without a confirmed instructor in the next 48 hours. It posts the uncovered class list to Slack sorted by urgency and drafts a substitute-teacher request via Twilio for each gap. All drafts wait for staff approval before reaching any teacher, so cover is arranged quickly and professionally.
- Uncovered classes are caught up to 48 hours in advance, giving time to find a sub
- Substitute-teacher requests are drafted and ready for one-click approval
- The whole team sees urgent gaps in Slack without checking the schedule manually

Questions, answered
Will it contact substitute teachers without my approval?
No. WebRun drafts every sub-request text and queues it in Twilio for staff review. Nothing is sent to a teacher until a team member explicitly approves and releases the message.
How far ahead does it check for uncovered classes?
By default it looks 48 hours ahead so your team has time to find cover. You can adjust the lookahead window during setup to suit your studio's scheduling patterns.
What if the instructor confirms they will attend after the morning run?
WebRun reads the live Momence schedule each run. If a class is confirmed before the next check, it will not appear on the uncovered list and no further drafts are created.
