Automated Yoco Till Float Shortage Alerts

Every night at cash up, WebRun takes the float you started with, adds Yoco's recorded card takings and the cash you logged, compares that against what the till actually counted, logs every night's cash up to a spreadsheet, and posts a Slack flag the moment a till comes up short.

In short

How do I catch a till float shortage the same night it happens?

WebRun checks every till's cash up against Yoco every night. It takes the float and the card takings Yoco recorded, compares that to what the till actually counted, logs every night's result to a spreadsheet, and posts a Slack flag naming any till that came up short, so a shortage gets caught the same night instead of at month end.

  • A shortage is flagged the same night, not weeks later
  • Every till is logged nightly, building a full audit trail
  • Only shortages over your own threshold trigger an alert

Built for retail managers · restaurant owners · multi till operations · franchise operators

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.yoco.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Yoco - pull the night's recorded card takings
    yoco.com
WebRun in Yoco: pull the night's recorded card takings
WebRun opens Yoco to pull the night's recorded card takings.
    • Open Yoco and pull the night's recorded card takings by till
    • Note the starting float already logged for each till
    • Pull any manual cash sales entered for the same till

Done when Each till's expected total for the night is captured from Yoco.

  3. 2
Google Sheets - log the cash up and check for a shortage
    google.com
WebRun in Google Sheets: log the cash up and check for a shortage
WebRun opens Google Sheets to log the cash up and check for a shortage.
    • Add tonight's row for each till to the cash up log
    • Compare the counted till total against the expected total
    • Calculate the shortage or overage for each till

Done when Every till's cash up is logged with its shortage or overage calculated.

  4. 3
Slack - flag any till that came up short
    slack.com
WebRun in Slack: flag any till that came up short
WebRun opens Slack to flag any till that came up short.
    • Post a flag for any till with a shortage over your set threshold
    • Name the till, the shortage amount, and who cashed up
    • Stay quiet on tills that balanced or came in over

Done when Your ops channel shows every till that came up short tonight, and only those.

Questions, answered

Does it need the counted cash amount typed in somewhere?

Yes. WebRun compares your counted till total against what Yoco and your float say it should be, so someone still needs to count and record the cash at cash up.

What if a shortage is just a small rounding difference?

You set the threshold. Small differences under your limit are logged quietly, so Slack only pings for a shortage big enough to actually look into.

Can it tell me who is responsible for a shortage?

It names whoever cashed up that till, if that is logged, so you know who to ask first. It does not accuse anyone, it just points to the record.

Put this on autopilot.
