Automated Yahoo Mail Receipt Extraction

Every night, WebRun opens Yahoo Mail, finds the day's receipt and order confirmation emails, reads the body of each for the vendor, date, amount, currency and order reference, writes one Airtable row per receipt, files the message into your receipts folder, and posts the day's total into a Notion page.

In short

How do I turn receipt emails into a spending sheet automatically?

WebRun itemises your receipts every night. It reads the day's receipt and order confirmation emails in Yahoo Mail, pulls vendor, date, amount and order reference from each, writes one Airtable row per receipt, files the message, and posts the day's spending total into Notion.

  • The day's spending is itemised before anyone opens the mailbox
  • Card statements get matched from one sheet with order references
  • Unreadable receipts are flagged for a human, never guessed

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens mail.yahoo.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Yahoo Mail - read the day's receipts
    yahoo.com
WebRun in Yahoo Mail: read the day's receipts
WebRun opens Yahoo Mail to read the day's receipts.
    • Open Yahoo Mail and find today's receipt and order confirmation messages
    • Read the body of each for vendor, date, amount, currency, and order reference
    • Move each processed message into your receipts folder
    • Skip newsletters, shipping updates, and anything without a payable amount

Done when Every receipt from today has been read and filed.

  3. 2
Airtable - write one row per receipt
    airtable.com
WebRun in Airtable: write one row per receipt
WebRun opens Airtable to write one row per receipt.
    • Write one row per receipt with vendor, date, amount, currency, and order reference
    • Add the sender address so an unfamiliar vendor can be traced back
    • Skip any receipt whose order reference is already in the table
    • Leave the category field blank when the vendor is new, for the bookkeeper to set

Done when Every receipt read tonight has exactly one Airtable row.

  4. 3
Notion - post the daily total
    notion.so
WebRun in Notion: post the daily total
WebRun opens Notion to post the daily total.
    • Add tonight's line to the spending page: date, receipt count, and total by currency
    • List the three largest purchases of the day underneath
    • Flag any receipt WebRun could not read cleanly so a person checks the original
    • Never reply to a vendor, request a refund, or delete an email

Done when The Notion spending page carries tonight's total and anything needing a human check.

Questions, answered

Does it delete or reply to any email?

No. WebRun reads receipt emails and moves them into your receipts folder. Nothing is deleted, nothing is replied to, and no refund or vendor contact happens from this run.

What if a receipt is hard to read?

It gets flagged rather than guessed. Any receipt WebRun cannot parse cleanly is listed on the Notion page with a link, so a person opens the original and fills the row in.

Will the same receipt be added twice?

No. Each row carries the order reference, and WebRun checks Airtable for that reference before writing, so a forwarded or resent confirmation does not create a duplicate.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
