Automated PatientNow Before and After Photo Reports

Every Monday, WebRun opens PatientNow, finds patients who crossed a 10, 20, or 30 percent body weight loss milestone and have both before and after photos on file, logs each milestone to a Google Sheet, and drafts a Mailchimp email asking permission to feature their story, left unsent until your team approves it.

In short

How do I track patient weight loss milestones and ask permission to feature their story?

WebRun checks PatientNow every Monday for patients who crossed a 10, 20, or 30 percent body weight loss milestone with before and after photos on file. It logs each to a Google Sheet with a consent status and drafts an opt-in Mailchimp request asking permission to feature their story, unsent until a patient says yes and staff approve.

  • Every milestone transformation is tracked with its consent status in one place
  • Feature requests only ever go to patients who haven't already said no
  • No photo or story is used without a signed release and staff approval

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.patientnow.com in a real browser with your saved login - no setup, no API keys.

  2. 1
PatientNow - find patients who hit a photo milestone
    patientnow.com
WebRun in PatientNow: find patients who hit a photo milestone
WebRun opens PatientNow to find patients who hit a photo milestone.
    • Open PatientNow and pull active and completed patients with both a before and a recent after photo on file
    • Compare each patient's current weight to their program start weight
    • Flag anyone who newly crossed a 10, 20, or 30 percent body weight loss milestone in the past 7 days
    • Check whether the patient has already signed a marketing or testimonial release on file

Done when Every patient who newly crossed a photo milestone this week is listed with their percent lost and release status.

  3. 2
Google Sheets - log the milestone and consent status
    google.com
WebRun in Google Sheets: log the milestone and consent status
WebRun opens Google Sheets to log the milestone and consent status.
    • Open the milestone tracker sheet
    • Append a row for each new milestone with the patient, percent lost, and whether a release is already on file
    • Mark the row as awaiting request, requested, or declined so the list reflects real consent status over time

Done when The milestone tracker lists every new photo milestone this week with its consent status.

  4. 3
Mailchimp - draft the permission request email
    mailchimp.com
WebRun in Mailchimp: draft the permission request email
WebRun opens Mailchimp to draft the permission request email.
    • For patients without a release on file, draft a warm, opt-in email asking if they'd be willing to have their story featured
    • Make clear that saying no has no effect on their care and that nothing is shared without their written yes
    • Save the email as an unsent Mailchimp campaign draft. Do not send anything or post any photo without a signed release and staff approval

Done when An unsent Mailchimp draft exists for every new milestone patient who hasn't already given consent.

Questions, answered

Does WebRun ever post a patient's photo anywhere?

No. It never posts, shares, or publishes a photo. It only flags milestones, tracks consent status in your sheet, and drafts a permission request for staff to send and a patient to answer.

What if a patient already declined or hasn't responded?

The tracker marks their row as declined or awaiting request. Patients who declined are never asked again automatically, and no draft goes out to them a second time.

Is any patient health information shared outside the practice?

No. Weight and photo data stay inside your own PatientNow, Google Sheets, and Mailchimp accounts. Nothing is shared publicly or with any outside party without a signed release and explicit staff approval.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
