Automated Cantaloupe DEX Discrepancy Worklist

Every morning, WebRun opens Cantaloupe Seed Pro, reviews the DEX electronic audit data uploaded from the previous day's service visits, compares actual counts to expected fills for each machine, flags discrepancies above your tolerance threshold, and writes a prioritized worklist to Google Sheets so your team can investigate and correct records before they affect cash reconciliation or inventory reports.

In short

How do I automatically find and review DEX discrepancies in my vending machines?

WebRun reviews DEX electronic audit data in Cantaloupe Seed Pro every morning, compares actual machine counts to expected fill quantities, and flags every discrepancy above your tolerance. The results go into a Google Sheets worklist sorted by variance size, so your team can investigate and correct records before they flow into cash reconciliation or inventory reports.

  • DEX variances are caught daily instead of discovered in monthly reconciliation
  • Largest discrepancies are prioritized so investigators focus where it matters most
  • Cash and inventory records are corrected quickly before they affect financial reporting

Built for vending operators · inventory managers · route supervisors · accounting teams

    • Open Cantaloupe Seed Pro and navigate to the DEX audit or inventory reconciliation report
    • Pull DEX data for machines serviced in the prior day
    • Compare actual DEX counts to the expected fill quantities for each machine and product
    • Flag discrepancies that exceed your configured tolerance (e.g. more than 2 units difference)
    • Capture machine ID, location, product, expected fill, actual DEX count, and variance for each flag

Done when Every DEX discrepancy above threshold from yesterday's service visits is listed with its variance details.

Questions, answered

What is DEX data and where does it come from?

DEX (Data Exchange) is an electronic audit standard that vending machines transmit when a technician or driver connects a handheld device during a service visit. Cantaloupe Seed Pro receives and stores this data after each visit.

Does it automatically correct the discrepancy in Cantaloupe?

No. WebRun only surfaces the discrepancy in Google Sheets for your team to investigate. Any inventory corrections are made manually in Cantaloupe after a human reviews the cause of the variance.

What if a machine was not serviced yesterday and has no DEX data?

Machines with no DEX upload for the prior day are excluded from the discrepancy check and noted separately in the sheet so your team can confirm whether a service visit was expected.
