Automated CoreCampus SAP Warning Letters

Every Monday, WebRun opens CoreCampus, checks each student's attendance pace and GPA against the satisfactory academic progress thresholds, drafts a SAP warning letter for students who fall below either one, and proposes a mandatory advising meeting time in Zoom for the student services team to send.

In short

How do I warn students who are falling below satisfactory academic progress?

WebRun checks CoreCampus every Monday for students below the satisfactory academic progress thresholds for attendance pace or GPA. It drafts a SAP warning letter naming the missed requirement, leaves it in Gmail for the aid officer to send, and proposes a Zoom advising meeting, so at-risk students get a warning and a path back before their aid is affected.

  • At-risk students get a documented warning before their aid is affected
  • The financial aid officer sends a ready-drafted letter instead of writing one from scratch
  • Every warning comes with a proposed advising meeting, not just a notice

Questions, answered

Will it send the warning letter to the student directly?

No. WebRun only drafts the letter in Gmail and leaves it for the financial aid officer to review and send. A SAP warning is a federal financial aid document, so it always goes out under a person's name.

How does it calculate satisfactory academic progress?

It checks both the qualitative component, GPA, and the quantitative component, cumulative pace or attendance, against the thresholds set in CoreCampus for the student's program.

Does it book the advising meeting without asking the student?

No. It only holds a proposed time on the advisor's calendar. The meeting invite goes out with the warning letter, so the student confirms it, it isn't booked automatically.
