Automated Toptal Trial Period Countdown

Every Monday, WebRun signs into your Toptal account, reads the engagements that started recently, counts the days left in each trial period, logs the hours and invoices billed so far in Airtable, and posts a countdown to Slack so the keep or stop call is made deliberately.

In short

How do I track when a contractor's trial period ends?

Every Monday, WebRun signs into your Toptal account, reads the engagements that started recently, and counts the days left in each trial period. It logs the hours billed so far in Airtable and posts a countdown to Slack, so the keep or stop call is made deliberately rather than by default.

  • The keep or stop call is made deliberately, not by a trial quietly lapsing
  • Every countdown arrives with the hours billed so far attached
  • Decisions and their dates are kept in Airtable as a record of what was agreed

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.toptal.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Toptal - count the days left in each trial
    toptal.com
WebRun in Toptal: count the days left in each trial
WebRun opens Toptal to count the days left in each trial.
    • Sign in to Toptal and list the engagements that are currently active
    • Record the talent name, the role, and the start date shown against each engagement
    • Count forward using the trial period length you have recorded for that engagement and work out the days remaining
    • Pull the hours and invoiced amounts logged against each engagement so far
    • Read only. WebRun never ends, extends, or changes an engagement, and never messages the talent

Done when Every engagement still in trial has a days-remaining figure and its billing to date.

  3. 2
Slack - post the decisions due
    slack.com
WebRun in Slack: post the decisions due
WebRun opens Slack to post the decisions due.
    • Post the countdown to your hiring channel, soonest deadline first
    • Show the talent name, the role, the days left in trial, and the hours billed so far
    • Put anything with under five days left at the top as a decision needed this week
    • Keep it internal. Nothing is sent to the freelancer or to Toptal

Done when The hiring channel has this week's countdown with the nearest decision first.

  4. 3
Airtable - log hours and invoices per engagement
    airtable.com
WebRun in Airtable: log hours and invoices per engagement
WebRun opens Airtable to log hours and invoices per engagement.
    • Open the engagements base and update a row per active engagement
    • Fill in the talent, the role, the start date, the trial end date, hours billed, and invoiced to date
    • Record the decision once a human makes it, so the history of keeps and stops is kept
    • Close rows for engagements that ended, keeping the final billed total

Done when Every engagement has a current row with its trial end date and billing to date.

Good to know

Questions, answered

Will it end or extend an engagement?

No. WebRun reads your Toptal account and reports the countdown. Keeping, stopping, or extending an engagement is a decision a person makes and carries out, and no message goes to the freelancer.

Will it approve invoices or pay anyone?

No. WebRun reads the hours and invoiced amounts already recorded so the decision has numbers behind it. It never approves an invoice, releases a payment, or enters payment details.

How does it know when a trial period ends?

It counts from the engagement start date using the trial length you record for that engagement, so different arrangements are tracked separately instead of on one blanket assumption.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
