TSTracker Automated Quote Conversion Tracking

Every Monday, WebRun opens TSTracker's Estimating module, checks which quotes converted to an active build job and which are still open or lost, matches the won amount against QuickBooks, and logs a running conversion rate report in Google Sheets so you can see win rate and average quote value over time.

In short

How do I track what percentage of my quotes convert to actual build jobs?

WebRun checks TSTracker's Estimating module every Monday for quotes that converted to a build job, are still open, or were lost, then matches each won amount against QuickBooks invoicing. It logs a running conversion rate report to Google Sheets tracking win rate and quoted versus actual value, so you can see estimating performance over time, not just this week's total.

  • Win rate is tracked automatically instead of guessed at
  • Quoted versus actual amount is checked against QuickBooks every week
  • Stale open quotes past your usual decision window get highlighted

WebRun in TSTracker: check quote status and outcomes
WebRun opens TSTracker to check quote status and outcomes.
    • Open TSTracker's Estimating module and list every quote issued in the last rolling 90 days
    • Capture each quote's status: converted to a build job, still open, or lost
    • Note the quoted amount and the customer for each

Done when Every quote in the window has its current status and quoted amount captured.

  3. 2
QuickBooks - match the won amount to actual invoicing
    • Open QuickBooks and find the invoice or job total tied to each converted quote
    • Compare the actual won amount against the original quoted amount
    • Flag any converted job invoicing meaningfully above or below its quote

Done when Every converted quote has its actual amount matched against the quote in QuickBooks.

  4. 3
Google Sheets - log the conversion rate report

WebRun in Google Sheets: log the conversion rate report
WebRun opens Google Sheets to log the conversion rate report.
    • Open the conversion tracking sheet and add this week's quotes with their outcome
    • Recalculate the rolling win rate and average quoted value for converted jobs
    • Highlight any quote still open well past your shop's usual decision window

Done when The conversion tracking sheet reflects this week's quotes and an updated win rate.

Questions, answered

How does it decide a quote converted?

It reads the live quote status in TSTracker's Estimating module, so a quote only counts as converted once it's actually linked to an active build job there, not just marked as sent.

Does it check whether the job actually made the quoted amount?

Yes. It matches each converted quote to its invoice or job total in QuickBooks and flags jobs that came in meaningfully above or below the original quoted amount.

Can it show win rate over a specific period?

The Google Sheets report keeps a running history, so you can filter or chart win rate and average quote value over any period once the sheet has a few weeks of data.
