Automatic Thunderbird Address Book Cleanup

Every Monday, WebRun opens Thunderbird, reads who you have exchanged mail with recently, compares that against your address book, and writes two lists into Airtable: people to add, and stale entries to retire. It texts you the count when the list is long.

In short

How do I clean up my Thunderbird address book automatically?

WebRun keeps your Thunderbird address book honest. Every Monday it reads who you actually exchange mail with, compares that against your contacts, and writes two Airtable lists: frequent correspondents missing from the book, and dead entries still in it. Twilio texts you when the cleanup list grows, so autocomplete stops offering addresses that bounce.

  • Frequent correspondents stop being missing from autocomplete
  • Bouncing addresses are named instead of being rediscovered mid-send
  • The cleanup list is reviewed weekly rather than once a year

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.thunderbird.net in a real browser with your saved login - no setup, no API keys.

  2. 1
Thunderbird - compare mail against contacts
    thunderbird.net
WebRun in Thunderbird: compare mail against contacts
WebRun opens Thunderbird to compare mail against contacts.
    • Open Thunderbird and scan the folders you asked it to cover
    • Collect the senders and recipients you have exchanged mail with over the last few months, with a message count each
    • Open your address book and compare it against that list
    • Mark frequent correspondents missing from the book, and book entries with no traffic at all
    • Note any entry whose address has been bouncing

Done when Every correspondent is classified as present, missing, or stale.

  3. 2
Airtable - log adds and retirements
    airtable.com
WebRun in Airtable: log adds and retirements
WebRun opens Airtable to log adds and retirements.
    • Write the people to add into your Airtable base, with their address and message count
    • Write the entries to retire into a second view, with the date of their last message
    • Mark bouncing addresses separately so they get removed first
    • Keep rows you already actioned so the same name is not proposed twice

Done when Both lists are current in Airtable with counts and last-contact dates.

  4. 3
Twilio - text you when the list is long
    twilio.com
WebRun in Twilio: text you when the list is long
WebRun opens Twilio to text you when the list is long.
    • Text you a one-line summary when the backlog crosses the threshold you set
    • Include how many contacts to add and how many to retire
    • Send only to your own number. WebRun never texts a contact

Done when You have been told the size of this week's cleanup list.

Questions, answered

Will it delete contacts from my address book?

No. WebRun proposes, you decide. Retirements are written to an Airtable list with the last-contact date for each. Deleting an entry is always a manual click in Thunderbird.

Does it read the contents of my email?

It reads the headers it needs: who sent, who received, when, and whether the address bounced. The point is traffic patterns, not message contents.

Can I keep contacts I rarely email?

Yes. Mark a row as keep in Airtable and WebRun stops proposing it. Family, suppliers, and anyone seasonal can be exempted permanently.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
