Automated RamSoft Imaging Care Gap Outreach Drafts
Every Monday, WebRun opens RamSoft PowerServer, identifies patients whose imaging history suggests a gap against your group's quality measures, for example a missed annual mammogram or overdue lung cancer screening, logs the care gap list in Google Sheets, and drafts outreach emails to the ordering providers for the clinical coordinator to review before any message is sent.
How do I automatically identify imaging care gaps and draft provider outreach from RamSoft?
WebRun opens RamSoft PowerServer every Monday and identifies patients whose imaging history shows a gap against your configured quality measures, such as overdue mammograms or lung cancer screenings. It logs the list in Google Sheets and drafts outreach emails to referring providers in Gmail for clinical coordinator review, so no message reaches a provider without human approval.
- Care-gap patients surface weekly without manual chart reviews
- Provider outreach drafts are ready for the coordinator the same morning gaps are identified
- No care-gap message is sent without coordinator review, protecting compliance and patient trust
Built for radiology quality coordinators · teleradiology group clinical managers · imaging center quality improvement teams · hospital radiology quality staff

1
RamSoft - identify patients with imaging care gaps
WebRun opens RamSoft to identify patients with imaging care gaps. - Open RamSoft PowerServer and query the patient history for the care-gap criteria configured at setup, such as patients aged 40 and older with no mammogram in the past 12 months
- Capture the patient identifier, gap type, last imaging date, referring provider name, and provider contact
- Skip patients already in an active outreach workflow in the Google Sheet
Done when Every patient matching a configured care-gap criterion is identified with their gap type and referring provider.
-
2
Google Sheets - log care-gap list with gap type and provider
WebRun opens Google Sheets to log care-gap list with gap type and provider. - Append each care-gap patient to the tracking sheet with the gap type, last imaging date, and outreach status
- Set the initial status to Pending Review
- Update to Outreach Drafted once the Gmail message is created
Done when The care-gap tracker is updated with this week's newly identified patients and their outreach status.
-
3
Gmail - draft provider outreach for coordinator review
WebRun opens Gmail to draft provider outreach for coordinator review. - Draft a care-gap notification addressed to the referring provider, noting the gap type and the patient identifier
- Do not include the patient's full name or clinical details in the draft body. Use the patient identifier only until the coordinator personalizes the message
- Save as a draft for coordinator review. Do not send automatically. All provider communication requires clinical coordinator approval
Done when A Gmail draft exists for each care-gap patient, ready for coordinator review and personalization before sending.

Questions, answered
Will it send outreach to providers or patients automatically?
No. Every outreach message is drafted in Gmail and held for the clinical coordinator to review, personalize, and send. No message containing any reference to a patient's imaging history leaves your system without explicit human approval.
Which care-gap criteria does it use?
You define the criteria during setup, for example patients aged 40 or older with no mammogram in the last 12 months, or patients 55 to 80 with no low-dose CT lung screening in 2 years. WebRun applies those rules to RamSoft's imaging history each week.
How does it avoid contacting a provider about a patient who already had the study at another facility?
WebRun queries the imaging history in RamSoft. If a study was performed at an outside facility and not imported into RamSoft, the coordinator will see the gap and can dismiss it in the Google Sheet tracker after confirming with the patient or provider.
