Automated RICS Software Online Order Routing

Every few minutes, WebRun checks for new online orders via Stripe, looks up the ordered SKUs in RICS Software inventory across all store locations, selects the best fulfillment location based on stock and proximity, and posts the routing assignment to the right store's Slack channel so staff can pick immediately.

In short

How do I automatically route online orders to the right store location using RICS Software?

WebRun monitors Stripe every few minutes for new online orders, checks inventory across all your RICS Software store locations, selects the best fulfillment site by stock and proximity, and posts a routing assignment to the correct store's Slack channel. Split-ship situations are flagged for management rather than auto-routed.

  • Online orders are routed to the right location within minutes of purchase
  • Split-ship situations are flagged for manager review instead of guessed
  • Store staff receive a complete pick list in Slack without anyone dispatching it manually

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens dashboard.stripe.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Stripe - detect new completed online orders
    stripe.com
WebRun in Stripe: detect new completed online orders
WebRun opens Stripe to detect new completed online orders.
    • Check Stripe for new completed payment events from the online store
    • Capture the order items, SKUs, sizes, quantities, customer shipping address, and order ID
    • Skip any order already routed in the previous run

Done when All new completed orders with their SKU and shipping details are identified.

  3. 2
RICS Software - check inventory across store locations and select fulfillment site
    ricssoftware.com
WebRun in RICS Software: check inventory across store locations and select fulfillment site
WebRun opens RICS Software to check inventory across store locations and select fulfillment site.
    • Search RICS Software inventory for each ordered SKU across all store locations
    • Select the fulfillment location with the strongest stock position and shortest shipping distance
    • Flag any order where no single location has full stock, so a split-ship decision can be made

Done when Each order has a recommended fulfillment location (or a split-ship flag) based on live RICS inventory.

  4. 3
Slack - post the fulfillment routing assignment to the correct store channel
    slack.com
WebRun in Slack: post the fulfillment routing assignment to the correct store channel
WebRun opens Slack to post the fulfillment routing assignment to the correct store channel.
    • Post the routing assignment to the assigned store's Slack channel with order ID, SKUs, sizes, and the customer's shipping address
    • Tag the store manager so the assignment is seen immediately
    • For split-ship orders, post to the management channel for a human routing decision

Done when Each routed order has a Slack assignment posted to the correct store channel with full pick details.

Questions, answered

Does it confirm the fulfillment decision or just suggest it?

WebRun posts the routing assignment for the store to action. Staff confirm fulfillment by following up in the thread. Split-ship orders are flagged for a manager to decide rather than auto-routed.

What happens if none of the locations has the ordered size in stock?

WebRun flags the order as unable to fulfill from current stock and posts it to the management channel so you can arrange a special order, backorder, or customer communication.

Can it handle orders from Shopify or WooCommerce instead of Stripe?

The routing logic runs on RICS inventory data. If your online store uses a different payment processor, configure WebRun to read from that source and the RICS lookup works the same way.
