Automated CareCloud Sleep Provider Utilization Report

Every Monday morning, WebRun opens CareCloud, reads the prior week's appointment and encounter data for each sleep medicine provider, calculates fill rate, no-show rate, and encounter volume, logs the results to a Google Sheet report, and posts a summary to Slack so leadership can review trends without pulling a single manual report.

In short

How do I automatically generate a weekly provider utilization report for my sleep medicine clinic?

Every Monday, WebRun reads the prior week's appointment and encounter data from CareCloud for each sleep medicine provider. It calculates fill rate, no-show rate, and encounter volume, logs everything to a Google Sheet, and posts a Slack summary flagging underutilized providers so leadership can act on capacity issues immediately.

  • Leadership has last week's fill and no-show rates in Slack before the Monday standup
  • Underutilized providers are flagged automatically, not discovered in a quarterly review
  • A rolling weekly history builds in Google Sheets for trend analysis without any manual exports

Questions, answered

Can it benchmark providers against a target fill rate?

Yes. You define the target fill rate when setting up the workflow, and WebRun automatically highlights any provider more than 10 percentage points below that target in the Google Sheet and flags them in the Slack summary.

Does it include telehealth encounters alongside in-person visits?

It reads all encounter types recorded in CareCloud for the prior week, including telehealth and in-lab visits, so the report reflects the provider's full schedule mix without requiring separate manual pulls.

How far back does the report go?

Each Monday run covers the prior seven calendar days. Because data is appended to the same Google Sheet each week, you build a rolling historical record that leadership can trend and filter over time.
