Automated CareCloud Sleep Medicine Balance Reminders
Every Monday, WebRun opens CareCloud, finds patient balances that are 30 or more days past due in the sleep medicine department, drafts a polite reminder for each account, logs the drafts in Google Sheets for staff review, and stages approved messages as Gmail drafts ready to send.
How do I automatically draft patient balance reminders for my sleep medicine practice?
Every Monday, WebRun opens CareCloud, finds sleep medicine patient balances 30 or more days past due, and drafts a polite reminder for each. Drafts are staged in Google Sheets for staff review, then moved to Gmail as unsent drafts, so every balance message is human-approved before it reaches a patient.
- Overdue balances are followed up every week without manual billing staff effort
- No patient receives a balance reminder without a staff member reviewing the message first
- Staff review and send pre-drafted reminders in minutes instead of writing each one individually

Questions, answered
Will balance reminder emails go out to patients automatically?
No. Every reminder is drafted and placed in Google Sheets for staff to review and approve. Only after staff approval is a Gmail draft created, and the staff member must click Send. No balance message reaches a patient without human sign-off.
What aging threshold triggers a reminder draft?
Balances 30 or more days past their statement date are included by default. You can adjust the threshold to match your practice's collections policy, such as 45 or 60 days.
Does it differentiate between small and large balances?
Yes. The Google Sheet includes the balance amount and days outstanding so staff can prioritize high-value or long-overdue accounts when reviewing and approving the draft queue.
