Automated CareCloud CPAP DME Resupply Reminders

Every Monday, WebRun opens CareCloud and identifies CPAP patients due for mask, tubing, or filter resupply based on their last supply date and payer-allowed frequency, logs each to an Airtable resupply queue, and alerts the DME coordinator in Slack so no resupply cycle is missed.

In short

How do I automatically track CPAP DME resupply schedules for sleep medicine patients?

Every Monday, WebRun opens CareCloud and finds CPAP patients due for mask, tubing, or filter resupply based on last order date and payer-allowed frequency. It logs each to an Airtable queue and alerts the DME coordinator in Slack, so every resupply cycle is captured before the window closes.

  • Every CPAP resupply window is captured before it closes and revenue is lost
  • DME coordinator starts each Monday with a ranked resupply queue in Slack
  • Overdue resupply patients are identified before compliance and revenue impact

Questions, answered

Will it contact patients about their resupply automatically?

No. WebRun builds the resupply worklist and delivers it to the DME coordinator internally via Airtable and Slack. All patient outreach is handled by your team, keeping PHI in your approved systems.

How does it know which resupply items each patient is due for?

It reads the last supply order date from CareCloud and applies standard payer-allowed frequencies: masks every 90 days, cushions every 30 days, tubing every 90 days, and filters every 30 days. These can be adjusted to match your payer contracts.

What if a patient already ordered their supplies directly from the DME provider?

WebRun reads order history in CareCloud each Monday, so any resupply order already placed this cycle is excluded from that week's queue automatically.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
