Automated Shopify Refund Anomaly Detection

Every morning, WebRun opens Shopify, reads all refunds and returns from the last 24 hours across online and POS channels, checks for anomalies such as a product with an unusually high return rate or a POS location with a spike in refunds, and logs the flags to a Google Sheet for your ops manager to review.

In short

How do I automatically detect unusual return or refund patterns in Shopify?

WebRun reads all Shopify refunds and returns from the last 24 hours every morning, groups them by product and location, and compares each against the rolling 7-day average. Any SKU or location with an unusual spike is logged to a Google Sheet with severity colour-coding so your ops manager can investigate quickly.

  • Unusual refund spikes caught within 24 hours before they escalate
  • Ops manager gets a prioritized investigation list each morning
  • Both online and POS return patterns visible in one tracker

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens admin.shopify.com/orders in a real browser with your saved login - no setup, no API keys.

    • Group refunds by product SKU and by POS location or online channel
    • Compare each group's refund count against the rolling 7-day average for that product or location
    • Flag any SKU or location where refunds are more than double the 7-day average

    • Append a new row for each flag with the SKU or location, today's refund count, the 7-day average, and the percentage increase
    • Colour-code rows by severity: amber for 2x the average, red for 3x or more

Done when All anomalies are logged with context so the ops manager can prioritize investigation.

Questions, answered

Will it automatically reverse or block any refunds?

No. WebRun only reads and flags anomalies. Every decision to investigate, escalate, or act on a refund is made by your ops manager after reviewing the sheet.

What counts as an anomaly?

By default, any SKU or location where refunds in the last 24 hours exceed twice the rolling 7-day daily average is flagged. You can adjust the multiplier during setup to match your normal return rate.

Does it cover both online and in-store returns?

Yes. WebRun reads refunds from your online store and every POS location in Shopify, so cross-channel return patterns are visible in one place.
