Automated Randstad Timesheet Approval Chase
Every Monday, WebRun opens Randstad, lists the timesheets from last week that are still unapproved, records the worker, the assignment, the hours, and the approver, posts the chase list to Microsoft Teams, and sends each approver a Telegram reminder before the payroll cutoff.
How do I chase unapproved timesheets before the payroll cutoff?
WebRun chases timesheet approvals in Randstad every Monday. It lists last week's timesheets still awaiting sign off, records the worker, assignment, hours, and approver, posts the chase list grouped by approver to Microsoft Teams, and sends a Telegram reminder before the payroll cutoff.
- Temporary staff get paid on time because approvals land before the cutoff
- Every approver sees only their own outstanding timesheets
- Invoices match the hours worked instead of an estimate
Built for hiring managers · staffing coordinators · payroll teams · operations leads

1
Randstad - find timesheets awaiting approval
WebRun opens Randstad to find timesheets awaiting approval. - Open Randstad and go to last week's timesheets
- Capture every timesheet still showing as submitted but not approved
- Record the worker, the assignment, the hours claimed, and the named approver
- Note any timesheet not yet submitted at all, since those block payroll too
- Count the hours left to sign off against the cutoff time
- Never approve or reject a timesheet. WebRun chases, a human approves
Done when Every unapproved timesheet is listed with its worker, hours, and approver.
-
2
Microsoft Teams - post the chase list
WebRun opens Microsoft Teams to post the chase list. - Post the chase list to the operations channel in Microsoft Teams
- Group the list by approver so each manager sees only their own
- Show total unapproved hours and the time left before the cutoff
- Call out timesheets never submitted separately from those awaiting sign off
Done when Every approver can see their outstanding timesheets in Teams.
-
3
Telegram - remind approvers before cutoff
WebRun opens Telegram to remind approvers before cutoff. - Send a short Telegram reminder to the internal approver group
- Lead with the number of timesheets and the hours at stake
- Repeat the cutoff time so the deadline is unmissable
- Keep the message internal to staff, never to the worker
Done when Approvers have been reminded with the cutoff time in hand.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it approve timesheets for me?
No. WebRun only reads timesheet status and chases the named approver. Approving or rejecting hours stays a human decision, because that decision drives what a worker gets paid.
Does it contact the temporary workers?
No. The chase list goes to your internal Teams channel and an internal Telegram group. Workers are never messaged, so nobody outside your team receives anything from this run.
What about timesheets that were never submitted?
They are listed separately, because a missing submission blocks payroll just as hard as a missing approval. Both appear in the same chase list so nothing is discovered after the cutoff.
