In short

How do I automatically save invoice attachments from QQ Mail?

WebRun opens QQ Mail every morning, finds the messages carrying invoice or receipt attachments, and saves each file named by sender and date. It logs every document in an Airtable archive and drafts a Gmail handover to your bookkeeper, left unsent for your approval, so month end needs no digging.

  • Yesterday's receipts are named, dated, and filed before you open the mailbox
  • Month end starts from one archive instead of a mailbox search
  • Duplicate and resent attachments are skipped automatically

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens mail.qq.com in a real browser with your saved login - no setup, no API keys.

  2. 1
QQ Mail - collect invoice attachments
    qq.com
WebRun in QQ Mail: collect invoice attachments
WebRun opens QQ Mail to collect invoice attachments.
    • Open QQ Mail and scan the mail folders that received messages since the last run
    • Open each message carrying an attachment and read the sender, subject, and received date
    • Keep the attachments that look like invoices, receipts, or statements and skip signatures, logos, and images
    • Name each saved file with the sender and the date so it sorts cleanly

Done when Every new invoice or receipt attachment has been collected and named.

  3. 2
    Airtable - log every document
    airtable.com
WebRun in Airtable: log every document
WebRun opens Airtable to log every document.
    • Open the document archive base in Airtable
    • Add one row per attachment with the file name, sender, message subject, and received date
    • Match the sender against your existing contacts so the same supplier keeps one name
    • Skip any file already logged so a forwarded copy is not filed twice

Done when Each collected document has its own dated row in the Airtable archive.

  4. 3
Gmail - draft the bookkeeper handover
    gmail.com
WebRun in Gmail: draft the bookkeeper handover
WebRun opens Gmail to draft the bookkeeper handover.
    • Compose a Gmail message to your bookkeeper listing the documents collected this morning
    • Attach the day's files and note the sender and date beside each line
    • Leave the message as a draft. WebRun never sends it, so you read it and click send yourself

Done when A Gmail draft with the day's documents is waiting for your approval.

Questions, answered

Will it email my bookkeeper without me?

No. WebRun writes the handover as a Gmail draft and stops there. You read the list, check the attachments, and press send yourself, so nothing leaves your mailbox unreviewed.

How does it tell an invoice from any other attachment?

It reads the sender, the subject line, and the file name, then keeps documents that read as invoices, receipts, or statements and skips signature images, logos, and inline graphics.

What stops the same receipt being filed twice?

Every run checks the Airtable archive first. A file already logged under the same sender and date is skipped, so a forwarded or resent copy does not create a duplicate row.

Put this on autopilot.
