Keep PT patients on track with their home exercise program

Each Monday, WebRun reviews active patients in WebPT who are mid-plan-of-care and have a home exercise program assigned, drafts a brief personalized check-in email for each one asking about adherence and any difficulty with exercises, and logs responses to a Google Sheet so therapists can review feedback before the next visit.

In short

How do I automatically check in with PT patients about their home exercise program?

Every Monday, WebRun reviews active WebPT patients with a home exercise program, drafts a brief personalized check-in email for each one asking about adherence and any difficulty, and logs them in a Google Sheets tracker organized by therapist. Staff review and send each draft, so HEP adherence issues surface before the next visit without adding manual outreach work.

  • HEP adherence issues surface before the next visit rather than during it
  • Therapists review a clean per-patient response log without manual outreach
  • No patient receives a check-in message without staff approval

    • Keep the message short to maximize response rates
    • Leave every draft unsent for staff review - patient messages are never sent automatically
    • Label each draft with the patient name and treating therapist for easy routing

Done when A Gmail draft HEP check-in exists for every eligible patient, ready for staff review.

  4. 3
Google Sheets - log HEP check-in status and patient responses

Done when Every HEP check-in is logged in the tracker and organized by therapist for follow-up review.

Good to know

Questions, answered

Will it contact patients about their exercises without staff approval?

No. Every check-in message is drafted in Gmail and left unsent. Staff review each draft before sending, so patients only receive messages the clinic has approved.

How does it know which exercises a patient has been assigned?

It reads the home exercise program details from each patient's record in WebPT and references the specific exercises in the draft check-in message to make it feel personal and relevant.

What happens with the patient responses?

Patient replies go to the Gmail inbox as normal. The Google Sheets tracker gives therapists a place to log each response and flag patients reporting pain or non-adherence for discussion at the next visit.
