Automated Proton Mail Enquiry Logging
Every hour during the working day, WebRun opens Proton Mail, reads emails that look like new enquiries, pulls out the sender, company, what they are asking for and any stated deadline, appends a row to your Google Sheet enquiry log, and posts the new ones to Microsoft Teams with a suggested owner so nothing sits unclaimed.
How do I track email enquiries without letting any slip?
WebRun checks your Proton Mail inbox every hour for new enquiries, pulls out the sender, company, what they asked for and any deadline, and appends a row to your Google Sheet. It then posts the new ones to Microsoft Teams with a suggested owner, so every enquiry gets picked up.
- Every enquiry has a row, an owner and a timestamp
- Unclaimed requests are reposted instead of forgotten
- The inbox stops being the only record of who asked for what

What does WebRun do on every run?
The exact actions WebRun takes, in order - in plain language, so you can adjust anything.
-
WebRun signs in and gets to work
Opens
mail.proton.mein a real browser with your saved login - no setup, no API keys. -
1
Proton Mail - read new enquiries
WebRun opens Proton Mail to read new enquiries. - Open Proton Mail and read messages that arrived since the last run
- Identify genuine enquiries and skip newsletters, receipts and automated notifications
- Capture the sender name, email address, company, the request in one line and any deadline mentioned
- Label each processed message so it is not picked up twice
- Read only. Never reply, forward, archive or delete a message
Done when Every new enquiry from this hour is captured and labelled as processed.
-
2
Google Sheets - log each one as a row
WebRun opens Google Sheets to log each one as a row. - Open your Enquiries sheet and append a row per new enquiry
- Fill in received time, sender, company, request, deadline and a blank owner column
- Skip any sender already logged in the last few days so repeat emails do not duplicate the thread
- Keep the sheet sorted newest first
Done when Every new enquiry has one row in the sheet with its details filled in.
-
3
Microsoft Teams - hand it to an owner
WebRun opens Microsoft Teams to hand it to an owner. - Post each new enquiry to your team channel with the sender, the request and any deadline
- Suggest an owner based on the routing rules you set, and @-mention them
- Link the sheet row so the owner can claim it in one click
- Repost anything still without an owner after your grace period
Done when Every enquiry has been posted with a suggested owner and a link to its row.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it reply to my emails?
No. WebRun reads Proton Mail and labels what it has processed. It never replies, forwards, archives or deletes a message, so the sender only ever hears from a person on your team.
How does it tell an enquiry from a newsletter?
It reads the content, not just the sender, and applies the rules you set at setup. Receipts, marketing and automated notifications are skipped, and anything ambiguous is logged with a Needs review flag rather than dropped.
What happens if nobody claims an enquiry?
It is reposted to the Teams channel after the grace period you set, with the age shown, so a request cannot quietly sit unowned for days.
Put this on autopilot.
Turn it on in minutes - or have our team set it up for you.
