Automated Sponsor Follow-Ups
Every Monday, WebRun opens the sponsor tracker in Google Sheets, finds deals expiring within the next 30 days or sponsors who have gone quiet for more than two weeks, drafts a personalized renewal or check-in email for each, and posts a Slack alert so the host can review and send the drafts before the relationship cools.
How do I automatically follow up with podcast sponsors before their deals expire?
Every Monday, WebRun scans the sponsor tracker in Google Sheets for deals expiring within 30 days or contacts gone quiet for more than two weeks, drafts a personalized renewal email in Gmail for each, and posts a prioritized Slack list. No email reaches a sponsor until the host reviews and sends the draft.
- No sponsor deal expires without a timely renewal conversation
- Personalized follow-up drafts are ready in Gmail every Monday without manual writing
- The host decides what goes to sponsors, with no email sent without approval

Questions, answered
Will it email sponsors automatically?
No. WebRun drafts the renewal email in Gmail and flags it in Slack, but the email is never sent without the host reviewing and sending it manually. Every sponsor communication stays in your hands.
How does it know which sponsors to follow up with?
It reads the deal end date and last contact date columns in your Google Sheets sponsor tracker. Deals expiring within 30 days and sponsors not contacted in more than 14 days are flagged each Monday.
What if a renewal is already confirmed?
Sponsors with a confirmed renewal status in the sheet are skipped automatically. Mark the Renewal column as confirmed after you close the deal and WebRun will leave that row alone.
