Automated Experian Health Prior Auth Reminders

Every morning, WebRun opens Experian Health, finds procedures scheduled in the next 3 days that still lack an approved prior authorization, posts a ranked alert to Slack for the authorization team, and drafts a documentation request email to each ordering provider's office, leaving it unsent in Outlook for your team to review and send.

In short

How do I catch missing prior authorizations before the scheduled visit?

WebRun checks Experian Health every morning for procedures scheduled in the next 3 days that still lack an approved prior authorization. It posts a ranked Slack alert to your authorization team and drafts a documentation request to each ordering provider in Outlook, left unsent for review, so no procedure runs without an auth your team could still resolve.

  • Missing authorizations are caught days before the visit, not at check-in
  • Auth team opens Slack to a ranked risk list every morning
  • Provider documentation requests are ready to send, not started from scratch

Built for prior authorization coordinators · hospital patient access teams · revenue cycle managers · specialty clinics

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.experian.com/healthcare in a real browser with your saved login - no setup, no API keys.

    • Filter to any without an approved prior authorization on file
    • Capture the patient, procedure, payer, ordering provider, and days until the visit

Done when Every upcoming procedure missing an approved prior auth is listed with its days until visit.

  3. 2
Slack - alert the auth team by urgency

    • Post the list to the authorization team channel, ranked by soonest visit first
    • Mark anything inside 24 hours as urgent
    • Note whether the auth is not yet submitted or still pending payer decision

Done when The auth team has today's at-risk list in Slack, ranked by urgency.

  4. 3
Outlook - draft a documentation request to the provider
    microsoft.com
WebRun in Outlook: draft a documentation request to the provider
WebRun opens Outlook to draft a documentation request to the provider.
    • Draft an email to the ordering provider's office naming the missing documentation or clinical notes needed to submit the auth
    • Leave every draft unsent in the outbox for the authorization coordinator to review
    • Never send a request on its own, since it may reference the patient's clinical details

Done when A reviewable draft request is waiting in Outlook for every procedure still missing a submitted auth.

Questions, answered

Will it email the provider's office on its own?

No. WebRun only prepares the draft in Outlook. It never sends a request that references patient or clinical details without your authorization coordinator reviewing and sending it.

How soon before the visit does it flag a missing auth?

It looks 3 days ahead by default and marks anything inside 24 hours as urgent, so your team has time to submit or chase the auth before the visit.

What if the auth is already submitted and just pending?

It is listed too, but noted as pending payer decision rather than not submitted, so your team knows whether to chase the payer or the documentation.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
