Automated Cerbo Patient Recall Reminders

Every Monday, WebRun opens Cerbo, identifies patients who have not had a visit in 90 or more days and have no upcoming appointment booked, drafts a warm and personalized recall message for each, and saves those as Gmail drafts for your team to review and send throughout the week.

In short

How do I automatically recall lapsed patients to my naturopathic practice?

WebRun opens Cerbo every Monday, finds active patients who have not visited in 90 or more days and have no upcoming appointment, and drafts a warm, personalized recall message for each in Gmail. Every draft stays unsent until your staff reviews and approves it, so no patient is contacted without explicit human sign-off.

  • Lapsed patients receive a personalized, reviewed recall message every week
  • Staff spend minutes approving a ready queue instead of manually identifying lapsed patients
  • Do-not-contact patients are skipped automatically from Cerbo flags

Built for naturopathic doctors · functional medicine practices · integrative health practices with recurring patient care

Questions, answered

Will it send recall emails to patients without my approval?

No. Every recall message is saved as a Gmail draft and left unsent until a staff member reviews and clicks Send. No patient is contacted automatically, keeping PHI inside your systems and a human in the loop.

What triggers a patient being considered lapsed?

Any active patient with no completed visit in the past 90 days and no future appointment in Cerbo. You can adjust the lapse threshold during setup, for example to 60 or 120 days, depending on your follow-up cadence.

What if a patient asked not to be contacted?

WebRun checks Cerbo for any do-not-contact flag on the patient record and skips those patients automatically. Keep those flags current in Cerbo and they will always be respected.
