Automated Music Makeup Lesson Scheduling

Every morning, WebRun opens My Music Staff, finds lessons marked absent in the past 48 hours, checks the teacher's open slots, drafts a makeup offer email for each family in Gmail with two or three options, and posts the batch to Slack for your review before anything is sent.

In short

How can I automatically offer makeup lessons to families after an absence?

Every morning, WebRun finds recent absences in My Music Staff, looks up the teacher's available slots, and drafts a personalised makeup offer email in Gmail for each affected family. Your admin reviews the batch in Slack and approves before any message is sent, keeping families informed without the manual back-and-forth.

  • Every absence gets a makeup offer the same day, not days later
  • Families receive specific slot options instead of a vague follow-up
  • No offer leaves without admin review

Built for music studios · private music teachers · music school administrators

Questions, answered

Will it contact families about makeup slots without my approval?

No. Every makeup offer is saved as a Gmail draft and held until you review it in Gmail and choose to send. Nothing goes to families without your sign-off.

How does it know which slots are free?

It reads the teacher's live calendar in My Music Staff and suggests only slots that are currently unbooked within the next 14 days.

What if there are no open slots in the next two weeks?

WebRun flags those absences in the Slack summary so you can handle scheduling manually or extend the search window.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
