Automated Survey Deliverable Due Date Tracker

Every morning, WebRun reads deliverable due dates for all active projects in Carlson Software, cross-checks the delivery log in Google Sheets to see what has already been sent, flags anything overdue or due within three days, posts a prioritised tracker to Slack, and sends an SMS via Twilio to the responsible crew lead when a deliverable is overdue by more than 24 hours.

In short

How do I automatically track and alert my team about survey deliverable due dates?

Every morning, WebRun reads deliverable due dates from Carlson Software, cross-checks the Google Sheets delivery log to remove already-sent items, and posts a prioritised tracker to Slack grouped by urgency. Crew leads responsible for deliverables overdue by more than 24 hours receive an automatic SMS via Twilio so nothing slips past its deadline unnoticed.

  • Every deliverable due date is visible to the project team before it becomes overdue
  • Crew leads receive an SMS escalation within 24 hours of a deliverable going overdue
  • Already-sent deliverables are removed from the tracker automatically via the Google Sheets log

Questions, answered

Will it send the deliverable to the client automatically?

No. WebRun tracks and flags deliverable due dates and sends internal Slack and SMS alerts to your crew leads. Sending the actual deliverable file to a client is always a manual step that a human performs after review.

How does it know whether a deliverable has already been sent?

It cross-checks the Google Sheets delivery log where your team marks items as sent. If a deliverable is logged as sent there, it is removed from the overdue list automatically, so you only see genuinely outstanding items.

Can it handle projects with multiple deliverables at different due dates?

Yes. WebRun reads each deliverable record individually from Carlson Software, so a single project with a field data file due this week and a final plat due next week generates two separate tracker entries.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
