Automated Landscape Material Reorder Alerts
Every Monday, WebRun opens Aspire, reviews material inventory levels alongside the week's upcoming jobs, identifies mulch, seed, fertilizer, or other supplies running below reorder point, drafts a purchase order for each shortage, and posts a Slack alert so your operations manager can review and approve before anything is ordered.
How do I automatically track and reorder landscaping materials like mulch before I run out?
WebRun opens Aspire every Monday, compares current material inventory against upcoming job requirements, and drafts a purchase order in Gmail for every supply running below a safe threshold. A Slack alert highlights critical shortages and the draft PO count, giving your ops manager a reviewed reorder decision before any shortage delays a crew.
- Material shortages are spotted before they delay a job, not after the crew arrives on site without supplies
- Draft POs are staged and reviewed so quantities and suppliers are always verified before ordering
- A Google Sheets log builds a purchase history automatically for cost tracking and supplier negotiations
Built for landscaping operations managers · landscape company owners · grounds maintenance purchasing teams · multi-crew landscape contractors

1
Aspire - check inventory against upcoming job requirements
WebRun opens Aspire to check inventory against upcoming job requirements. - Open Aspire and review current material inventory levels for mulch, soil, seed, fertilizer, and other consumables
- Compare on-hand quantities against the material requirements for jobs scheduled this week and next
- Flag any material where on-hand stock will not cover upcoming job requirements with a buffer of at least 20%
Done when Every material below the reorder threshold relative to upcoming jobs is flagged with current quantity and required quantity.
-
2
Google Sheets - log reorder flags and quantities
WebRun opens Google Sheets to log reorder flags and quantities. - Log each reorder flag to the materials tracker sheet with material name, current stock, required quantity, reorder quantity, and preferred supplier
- Mark items as pending order so next week's run does not double-flag them before the PO is fulfilled
Done when All reorder flags are logged in Google Sheets with quantities and supplier details.
-
3
Gmail - draft purchase orders for low materials
WebRun opens Gmail to draft purchase orders for low materials. - Draft a purchase order email to the preferred supplier for each flagged material, including material name, quantity, and delivery address
- Save each PO as a Gmail draft - do not send - so the operations manager can review quantities and pricing before placing the order
Done when One Gmail draft PO exists for each low material, staged unsent and ready for manager review.
-
4
Slack - alert ops manager with reorder summary
WebRun opens Slack to alert ops manager with reorder summary. - Post a reorder summary to the ops channel listing each flagged material, current stock, required quantity, and the draft PO count awaiting approval
- Flag any critical shortages where a job this week cannot proceed without restocking
Done when Ops manager has the weekly material reorder summary in Slack with draft POs staged in Gmail.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it place purchase orders automatically?
No. Every draft PO is staged in Gmail unsent and flagged in Slack for your operations manager to review. No order is placed until a human approves the quantities, supplier, and timing.
How does it decide how much to order?
WebRun calculates the gap between current on-hand stock and the material required to cover the next two weeks of jobs, then adds a 20% buffer. You can adjust both the buffer and the forward-planning window in your settings.
What if a delivery arrived after the run but before the PO is approved?
The Google Sheets log marks each flagged item as pending. Before the next run, update the log or Aspire inventory to reflect the delivery, and WebRun will skip that item the following Monday.
