Automated RamSoft Imaging Order Intake Routing
Every hour, WebRun opens RamSoft, collects all new imaging orders received since the last run, checks each for completeness (diagnosis code, clinical indication, ordering provider credentials), logs them to an Airtable intake tracker, and posts a routing summary to Slack so schedulers know what arrived and what needs follow-up.
How do I automatically route new imaging orders to the correct modality scheduling queue?
WebRun checks RamSoft every hour for newly received imaging orders, verifies that each has the required diagnosis code and clinical indication, routes complete orders to the right modality queue in Airtable, and posts a count-by-modality summary to Slack. Schedulers see what arrived and what needs follow-up without manually checking the RIS each hour.
- No new imaging order sits unnoticed for more than an hour
- Incomplete orders flagged immediately so the referring office can be contacted before the patient calls
- Schedulers see a modality-level count each hour without logging into RamSoft manually
Built for imaging center schedulers · radiology department coordinators · outpatient imaging admins

Every action is checked against this policy before it runs.
Questions, answered
Will it schedule the appointment with the patient automatically?
No. WebRun routes the order to the correct modality queue and flags completeness issues. A scheduler reviews the Airtable log and makes the appointment with the patient. No patient-facing communication is sent automatically.
What counts as an incomplete order?
WebRun checks for the fields you configure as required, typically diagnosis code, clinical indication, and ordering provider NPI. Any order missing those fields is flagged for follow-up so your team can contact the referring office before scheduling.
Can it handle orders from multiple referring practices?
Yes. RamSoft receives orders from any integrated referring source, and WebRun processes all of them in each hourly run regardless of the originating practice or HL7 interface.
