Automated Missed Visit Alerts

Every afternoon, WebRun opens Axxess, checks which scheduled visits for the day have not been clocked in or completed, flags each missed or late visit with the patient name and clinician, and posts an alert to your scheduler in Slack so recovery action can start the same day.

In short

How do I automatically detect and alert on missed home health visits?

WebRun scans Axxess every afternoon for visits that have not been completed or checked in on time. It posts a list of every missed or late visit to your scheduler in Slack and drafts clinician follow-up texts for review, so recovery action starts the same day every time.

  • Missed visits are flagged to the scheduler the same day, not the next morning
  • Clinician follow-up texts are drafted and ready for one-click approval
  • Rescheduled or cancelled visits are excluded automatically from alerts

Questions, answered

Will it send a text to the clinician without the scheduler seeing it first?

No. All follow-up texts to clinicians are drafted and held for scheduler review. The scheduler sees the drafts in Slack and approves each one before any message is sent, keeping a human in the loop for every outbound contact.

How does it know a visit is missed rather than just running late?

It compares the scheduled visit time against the current time and flags any visit that has not been clocked in past a threshold you set. You can adjust the threshold from 30 minutes to several hours to match your agency's policy.

What if the clinician already called in and the visit was rescheduled?

WebRun reads live visit status from Axxess each run. If the visit was marked as rescheduled or cancelled in Axxess before the scan runs, it is excluded from the alert automatically.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
