Automated Flooring Sample Return Reminders

Every morning, WebRun opens Broadlume and checks the sample checkout log for any samples that have been out longer than your return window. For each overdue checkout, it drafts a polite return reminder to the customer and posts a Slack summary so your team can review and send the messages before the day begins.

In short

How do I automatically remind flooring customers to return overdue samples?

WebRun checks Broadlume every morning for flooring samples checked out past your return window. For each overdue item, it drafts a friendly return reminder email in Gmail naming the specific sample, then posts a Slack digest for your team to review and send, keeping your sample inventory circulating and available.

  • Overdue samples are followed up on every morning, not when someone remembers
  • Your sample inventory stays in circulation and available for new customers
  • No reminder reaches a customer without team review

Questions, answered

Will it contact customers about overdue samples automatically?

No. WebRun saves each reminder as a Gmail draft and posts a Slack summary for your team to review. Nothing reaches the customer until a team member approves and sends the draft.

How does it know which samples are overdue?

WebRun reads the checkout date recorded in Broadlume for each sample and compares it to today's date. Any sample out longer than your set return window (default 7 days) is included in the batch.

What if the customer already brought the sample back but it was not logged in Broadlume?

WebRun relies on the return status in Broadlume. If a sample was returned but not logged, it will still appear in the draft batch. Your team should confirm before sending or mark the sample as returned in Broadlume first.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
