Automated Serialized Inventory Variance Reports

Every morning, WebRun reads the serialized firearms marked on hand in your Rapid Gun Systems POS, compares them against the serials still open in the FastBound bound book, logs every serial that appears in one system but not the other to a Google Sheet, and posts your team the variances to investigate.

In short

How do I find serialized inventory that does not match my bound book?

Every morning, WebRun reads the on-hand serialized firearms in your Rapid Gun Systems POS and compares them against the serials still open in the FastBound bound book. It logs every mismatch to a Google Sheet, marked POS-only or book-only, so your team fixes a miscount before it becomes an audit finding.

  • Count mismatches surface every morning, not at physical inventory
  • Each variance is marked POS-only or book-only for a fast investigation
  • Serials never quietly drift between the register and the book

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens rapidgunsystems.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Rapid Gun Systems - read on-hand serialized firearms
    rapidgunsystems.com
WebRun in Rapid Gun Systems: read on-hand serialized firearms
WebRun opens Rapid Gun Systems to read on-hand serialized firearms.
    • Open Rapid Gun Systems and pull the serialized firearms currently marked on hand
    • Capture the manufacturer, model, and serial for each
    • Note the shelf or location tag where the POS says it sits

Done when Every firearm the POS shows on hand is listed with its serial.

  3. 2
FastBound - compare against open bound-book serials
    fastbound.com
WebRun in FastBound: compare against open bound-book serials
WebRun opens FastBound to compare against open bound-book serials.
    • Open FastBound and pull the serials still open in the A&D bound book
    • Compare the two lists to find serials in the POS but not the book, and the reverse
    • Mark each mismatch as a POS-only or book-only variance

Done when Each on-hand serial is matched or marked as a variance.

  4. 3
Google Sheets - log every variance
    google.com
WebRun in Google Sheets: log every variance
WebRun logs each variance between the POS and the bound book.
    • Open your variance Google Sheet and add a row for every mismatched serial
    • Record the manufacturer, model, serial, and whether it is POS-only or book-only
    • Sort so the newest variances sit at the top for quick review

Done when The sheet lists every serial that does not match between the two systems.

Questions, answered

Does it change counts in either system?

No. WebRun reads the on-hand serials in Rapid Gun Systems and the open serials in FastBound, then logs the differences to a Google Sheet. Your staff investigate and correct each variance themselves.

What counts as a variance?

Any serial the POS shows on hand that is not open in the bound book, or any serial open in the book that the POS no longer shows. Each row is marked POS-only or book-only so staff know where to look.

Is the variance list safe to post automatically?

Yes. It is an internal Google Sheet and team digest with no customer contact and no edits to either system, so it runs on its own each morning for staff to work through.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
