Automated Due Diligence Reply Tracking

Every morning, WebRun opens the Gmail inbox that receives due diligence replies, matches each responding owner to their Simple Escheat record, marks the property as claimed so it drops off the filing list, and posts the team a Microsoft Teams list of who responded and what they are owed.

In short

How do I track owner responses to due diligence mailings automatically?

Every morning, WebRun opens the Gmail inbox that receives due diligence replies and matches each responding owner to their Simple Escheat record by name and property. It marks that property as claimed so it drops off the filing list and posts the team a Microsoft Teams list of who responded, so no reply is lost before the deadline.

  • Owner replies drop the claimed property off your filing list the day they arrive
  • Every response is matched to its record and noted for follow-up
  • Unmatched replies are flagged instead of guessed, so nothing goes wrong quietly

Built for unclaimed property analysts · compliance teams · controllers · corporate accounting

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens mail.google.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Gmail - read due diligence replies
    gmail.com
WebRun in Gmail: read due diligence replies
WebRun opens Gmail to read the owner replies to your due diligence letters.
    • Open the Gmail inbox or label where due diligence replies arrive
    • Read each reply and capture the owner name, the property referenced, and what they are asking for
    • Set aside anything that does not clearly match an owner so a person can review it

Done when Every new due diligence reply has been read and linked to an owner and property.

  3. 2
Simple Escheat - mark responding owners claimed
    simpleescheat.com
WebRun in Simple Escheat: mark responding owners claimed
WebRun marks each responding owner's property as claimed in Simple Escheat.
    • Open Simple Escheat and find the record for each responding owner by name and property detail
    • Mark the property as claimed or in contact so it drops off the escheat filing list
    • Leave a note on the record with what the owner requested for the team to action

Done when Every responding owner's Simple Escheat record is updated to reflect their reply.

  4. 3
Microsoft Teams - report who responded
    teams.microsoft.com
WebRun in Microsoft Teams: report who responded
WebRun posts the day's list of owner responses to Microsoft Teams.
    • Post the team a short list of owners who responded, with the property and amount for each
    • Flag any reply that could not be matched to a record so someone can follow up
    • Note the number of records that dropped off the filing list as a result

Done when The team has today's list of owner responses in Microsoft Teams.

Questions, answered

Will it reply to owners on its own?

No. WebRun reads the replies, updates Simple Escheat, and posts a Microsoft Teams list. It does not answer any owner. A person handles each response, so nothing is sent to an owner without approval.

How does it match a reply to the right record?

It matches each reply to a Simple Escheat record by owner name and the property referenced in the letter. Any reply it cannot cleanly match is flagged for a person to review rather than guessed.

What if an owner claims property that already escheated?

It flags the reply and the matched record for the team rather than acting alone, so you can route the owner to the state's reunification process where the property has already been filed.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
