In short

How do I automatically chase clients for outstanding flight documents?

Every morning, WebRun checks DroneDeploy for flights scheduled in the next seven days, verifies DocuSign envelope status for waivers and site-access forms, logs gaps in Google Sheets, and drafts a personalised collection request in Gmail for every client still missing required paperwork, so no pilot arrives on site without clearance.

  • Missing waivers and site access forms are chased days before the flight, not on the day
  • Pilots never arrive on site without the required paperwork
  • Every document request is reviewed by a human before reaching the client

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.dronedeploy.com in a real browser with your saved login - no setup, no API keys.

  2. 1
DroneDeploy - find flights scheduled in the next 7 days
    dronedeploy.com

    • Identify which documents are required for each site type (private land waiver, site access letter, or public airspace notification)

Done when A list of upcoming flights with required document types is compiled.

    • Open DocuSign and check the envelope status for waivers and access forms sent to each upcoming-flight client
    • Flag any envelope that is still in 'Sent' or 'Delivered' status and has not been signed

Done when The tracker sheet shows current document status for every upcoming flight.

  5. 4
Gmail - draft collection request for review
    gmail.com
WebRun in Gmail: draft collection request for review

Done when A draft collection request is waiting in Gmail Drafts for every client with missing documents.

Good to know

Questions, answered

Will it send the document requests to clients without my approval?

No. Every collection request is saved as a Gmail draft for you to review. Nothing goes to the client until you open the draft and click Send.

Which documents does it track?

WebRun checks for whichever documents you define as required for each site type in the Google Sheets tracker: typically site access letters, signed waivers, and any insurance or indemnity certificates.

What if the client already signed on paper?

Mark the row as 'Received' in the Google Sheets tracker and WebRun will skip that client on the next run.

Put this on autopilot.
