Automated Lesson Package Tracking

Each morning, WebRun checks Acuity Scheduling for students with one or fewer lessons remaining on their package, cross-references Stripe to confirm their last payment and package type, drafts a top-up reminder message for each, and posts a flagged list to Slack for your team to review before any message goes out.

In short

How do I track and flag low lesson package balances automatically?

WebRun scans Acuity Scheduling every morning for students with nearly exhausted lesson packages, cross-checks Stripe for payment details, and posts a flag list to Slack with draft top-up reminder messages. Staff review and approve each message before it reaches a student, so revenue opportunities are caught without contacting anyone automatically.

  • Low package balances are caught before the student runs out mid-course
  • Staff see a daily flag list without checking Acuity or Stripe manually
  • Top-up messages are drafted and ready to send in seconds after staff review

Questions, answered

Will it message students or charge their card automatically?

No. WebRun drafts the top-up reminder and posts it to Slack for staff to review. No message is sent to a student and no payment is initiated without a human approving it first.

What counts as a low package?

By default WebRun flags students with one lesson remaining. You can adjust the threshold, for example flagging at two or three remaining, by telling WebRun your preferred cutoff when you set it up.

What if a student already bought a new package?

WebRun reads live data from Acuity Scheduling and Stripe each morning, so students who renewed their package before the daily run are skipped automatically.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
