Automated Hint Health Care Gap Report
Every Monday, WebRun reviews active Hint Health members for preventive care gaps, logs each open gap by type and priority to Google Sheets, and sends the care coordinator a Telegram summary so providers can address gaps at the next available visit rather than missing them.
How do I automatically identify and report preventive care gaps for DPC members?
WebRun reviews active Hint Health members every Monday for overdue screenings, vaccinations, and chronic disease follow-ups, then logs each open gap by type and urgency to Google Sheets. The care coordinator gets a Telegram summary so providers can address gaps at the next visit, with all member outreach handled by staff after reviewing the report.
- Open preventive care gaps surface every Monday without manual chart review
- Longest-overdue gaps rank first so providers close the highest-risk ones first
- All member outreach remains staff-reviewed before any contact is made

Questions, answered
Will it contact members about their care gaps without staff approval?
No. All member outreach to close care gaps is handled by staff after reviewing the Google Sheets tracker. WebRun never messages a member directly, protecting PHI and keeping a clinician in the decision loop.
Which preventive care gaps does it track?
It looks for overdue screenings (mammograms, colonoscopies, lipid panels), missing age-appropriate vaccinations, and chronic disease follow-ups that have lapsed. You can customize the gap criteria in the workflow settings.
What if a gap was closed by an outside provider?
WebRun reads the data available in Hint Health. If an external result is recorded there, it is counted as closed. For gaps closed elsewhere, staff can manually mark the row resolved in Google Sheets.
