Streamtime Automated Design Proof Approval Alerts

Every morning, WebRun opens Streamtime, finds every project with a proof out for client approval, checks Figma to see who has left comments or signed off, drafts a polite reminder in Gmail for anyone who's gone quiet, and posts your team a Slack list of proofs still waiting.

In short

How do I automatically chase clients who haven't approved a design proof?

WebRun checks Streamtime every morning for projects with a proof out for approval, then opens each one in Figma to see who has actually responded. For anyone quiet three or more days, it drafts a polite reminder in Gmail, leaves it unsent, and posts your team a Slack list of every proof still waiting.

  • Stalled proofs get a reminder before they cost a week of schedule
  • Every account manager opens Slack to the same open proof list
  • No client sign-off slips through the cracks between projects

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens streamtime.net in a real browser with your saved login - no setup, no API keys.

    • Open each project's proof file in Figma
    • Check whether the client has left comments or an approval mark since it was sent
    • Note whether feedback exists or the file is still untouched

Done when Every open proof has a clear status: responded, commented, or silent.

  5. 4
Slack - list which proofs are still open
    slack.com

Questions, answered

Will it email clients without me?

No. WebRun only drafts the reminder in Gmail and leaves it unsent. You read it, tweak it if needed, and hit send yourself, so nothing goes to a client without your approval.

How does it know a client hasn't responded?

It checks the proof file in Figma each morning for new comments or an approval mark since it was sent, so anyone who has already replied is skipped automatically.

What counts as a proof going stale?

Three or more days with no comment or approval on the Figma file. You can tighten or loosen that window to match how your studio likes to follow up.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
