In short

How do I track rejected and outstanding dental insurance claims automatically?

Every morning, WebRun opens Open Dental and runs the Outstanding Insurance Claims report to find claims that were rejected or have aged past due. It writes each one into a Google Sheets worklist with its carrier, error code, and age, then posts the billing team a Slack summary of which claims to rework first.

  • Rejected claims surface every morning instead of aging unnoticed
  • The whole open-claims worklist lives in one ranked Google Sheet
  • Aging claims get reworked before they pass timely-filing deadlines

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.opendental.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Open Dental - pull rejected and aging claims
    opendental.com

WebRun runs the Open Dental Outstanding Insurance Claims report.
    • Open Open Dental and run the Outstanding Insurance Claims report
    • Filter to claims that were rejected or have aged past their send date
    • Capture the patient, carrier, claim amount, last status, error code, and days outstanding for each

Done when Every rejected or aging claim has been listed with its carrier and error code.

  3. 2
Google Sheets - build the claims worklist
google.com How to Automate Google Sheets
WebRun in Google Sheets: build the claims worklist
WebRun writes each rejected or aging claim into the Google Sheets worklist.
    • Open the claims worklist in Google Sheets and add a dated row for each claim
    • Record the patient, carrier, amount, status, error code, and days outstanding
    • Sort so the oldest and highest-value claims sit at the top and mark which need resubmitting

Done when The Google Sheets worklist holds every open claim, ranked by age and value.

  4. 3
Slack - summarise what to rework
    slack.com How to Automate Slack
WebRun in Slack: summarise what to rework
WebRun posts the day's claim worklist summary to Slack.
    • Post the billing team a short summary of how many claims are rejected versus simply aging
    • Call out the largest and oldest claims to rework first
    • Link the Google Sheets worklist so anyone can pick up the next claim

Done when The billing team has today's claim worklist summary in Slack.

Questions, answered

Will it resubmit or change claims on its own?

No. WebRun only reads the Outstanding Insurance Claims report and builds a worklist. It never edits, resubmits, or files a claim. Your billing team decides what to rework, so nothing is sent to a carrier without a person doing it.

How does it know which claims were rejected?

It reads the Outstanding Insurance Claims report in Open Dental each morning, which shows the last claim status and error code for tracked claims. WebRun pulls the ones marked rejected or aged past their send date.

Will old claims keep cluttering the worklist?

No. WebRun reads the live report each run, so once a claim is paid or closed in Open Dental it drops off the worklist automatically and the Slack summary reflects only what is still open.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
