Automated Gainsight QBR Scheduling

Every Monday, WebRun opens Gainsight, finds accounts due a quarterly business review, pulls each one's health score, adoption, open CTAs, and renewal date, assembles a per-account prep pack in Google Sheets, and drafts a scheduling email to the executive sponsor in Gmail for the CSM to review and send.

In short

How do I schedule and prepare for customer QBRs automatically?

Every Monday, WebRun finds accounts in Gainsight whose last QBR was over a quarter ago, pulls each one's health, adoption, open CTAs, and renewal date, and builds a prep pack in Google Sheets. It then drafts a scheduling email to the sponsor in Gmail for the CSM to review, so QBRs get booked and prepped without scramble.

  • QBRs surface a quarter out, not when the renewal looms
  • Every review comes with a ready prep pack of facts
  • Scheduling emails are drafted, then reviewed by a human

What does WebRun do on every run?

Questions, answered

Will it email sponsors or book meetings on its own?

No. Every scheduling email is left as a Gmail draft for the CSM to review and send, and WebRun never books a meeting. It surfaces the QBR, builds the prep pack, and writes the first draft. The CSM owns the relationship.

How does it decide which accounts need a QBR?

It reads each account's last QBR date in Gainsight and flags any where a full quarter has passed, then prioritizes by renewal date and health so the most important reviews get scheduled first.

What goes in the prep pack?

Each account's health trend, top adopted and unused features, open CTAs, renewal date, and one suggested talking point and risk, laid out in Google Sheets so the CSM can prep in minutes instead of an hour.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
