Automated Xactware Settlement Variance Flags
Every Monday, WebRun opens XactAnalysis on xactware.com, compares the final settlement amount to the approved Xactimate estimate for each claim closed last week, flags files where the variance exceeds your defined threshold, and writes the results to Google Sheets for your QA team to investigate and address.
How do I automatically flag settlement variance between Xactimate estimates and final payouts?
WebRun opens XactAnalysis every Monday, compares the final settlement amount to the approved Xactimate estimate for each claim closed last week, and flags files where variance exceeds your threshold. Results are written to Google Sheets with dollar and percent variance by adjuster and carrier so your QA team can investigate patterns and outliers.
- Settlement-to-estimate outliers surfaced weekly before patterns become costly
- QA team reviews a focused flagged list, not the entire closed-claim population
- Variance trends by adjuster and carrier visible across weeks in one sheet

1
Xactware - compare estimates to final settlement amounts
WebRun opens Xactware to compare estimates to final settlement amounts. - Open XactAnalysis and filter to claims closed in the past 7 days
- For each closed claim, read the approved Xactimate estimate total and the final settlement amount
- Calculate the variance in dollars and as a percentage of the estimate
- Flag claims where variance exceeds the configured threshold, for example more than 15 percent or more than $5,000
- Note the adjuster, carrier, claim type, and direction of variance (over or under estimate)
Done when All last-week closed claims with significant settlement variance are identified with direction and magnitude.

2
Google Sheets - write the settlement variance flags
WebRun opens Google Sheets to write the settlement variance flags. - Open the settlement variance sheet and add a new dated section
- Write each flagged claim as a row: claim number, adjuster, carrier, estimate, settlement, variance amount, and variance percent
- Highlight rows where variance is over 25 percent for escalated QA review
- Add a summary row with the total flagged count and average variance for the week
Done when This week's variance flags are written to Google Sheets with summary totals and QA escalation highlights.
How is each run configured?

Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it automatically dispute or reopen a settlement?
No. WebRun flags variance for your QA team to review. Any decision to investigate, dispute, or reopen a settlement is made by a human after examining the flagged file.
Can I set different variance thresholds for different claim types?
Yes. During setup you configure thresholds by claim type, carrier, or size, so a residential property claim and a large-loss commercial claim can have different escalation triggers.
What if the variance is expected, for example a negotiated reduction?
Your QA team reviews each flagged file and can mark it as reviewed with a reason in the Google Sheet. That context is preserved in the sheet for future audits.
