Draft policyholder status updates from Xactware for your review

Every morning, WebRun opens XactAnalysis on xactware.com, reads the latest status for claims that have not had a policyholder update in 5 or more days, drafts a clear and professional status email for each policyholder in Gmail, and leaves every draft for the assigned adjuster to review and send. Nothing is sent automatically.

In short

How do I automatically draft policyholder status update emails from Xactware?

WebRun reads XactAnalysis every morning for claims overdue for a policyholder update, composes a professional status email for each one using the current claim stage and adjuster notes, and saves it as a Gmail draft. Every draft waits for the adjuster to review and send: no email reaches a policyholder without human approval.

  • Adjusters start each day with policyholder update drafts ready to review, not a blank email
  • No claim goes more than 5 days without a prompted policyholder update cycle
  • Human approval required before any email reaches a policyholder

Questions, answered

Will it send emails to policyholders without the adjuster reviewing them?

No. Every email is saved as a Gmail draft only. The adjuster must open, review, and send each email. Nothing is sent to any policyholder automatically.

How does it know what to write in each update?

It reads the claim's current XactAnalysis status, last completed stage, and adjuster notes to compose the update. You can give WebRun a preferred tone or template during setup.

What if the policyholder has already been updated this week?

WebRun only drafts for claims where the last recorded policyholder contact is 5 or more days old, so policyholders who have been recently updated are skipped.
