Automated Standby Seat Offers

Whenever a balloon flight has open seats after a scrub or cancellation in TripWorks, WebRun reads your standby list in a Google Sheet, matches waiting guests to the open date and launch site, and drafts a first-come offer text in Twilio for the next people in line, queued for you to approve and send.

In short

How do I automatically offer scrubbed flight seats to my standby list?

When a balloon flight reopens seats after a scrub or cancellation in TripWorks, WebRun reads your Google Sheet standby list, matches waiting guests to that flight by date and site in join order, and drafts first-come offer texts in Twilio. Every offer is queued for your approval, so you send seats to the right guests without overselling.

  • Empty seats from scrubs get offered the same morning they open
  • Standby guests are offered in fair, first-come order without overselling
  • No offer text goes out until you approve the queued batch

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.tripworks.com in a real browser with your saved login - no setup, no API keys.

  2. 1
TripWorks - find newly open seats
    tripworks.com

    • Capture the flight date, launch site, and number of seats now available
    • Note the meet time and any booking window for each reopened flight
    • Skip flights that are already full again from live availability

Done when Every flight with newly open seats is listed with its date, site, and seat count.

  3. 2
Google Sheets - match the standby list in order
    docs.google.com

    • Open the standby list in Google Sheets
    • Match waiting guests to each reopened flight by preferred date and launch site
    • Order the matches by who joined the standby list first
    • Limit the matches per flight to the number of seats that opened

  4. 3
Twilio - draft first-come offer texts
    twilio.com
WebRun in Twilio: draft first-come offer texts
WebRun opens Twilio to draft first-come offer texts.
    • Draft a short first-come offer text for each shortlisted standby guest
    • State the flight date, launch site, meet time, and how to claim the seat
    • Make clear seats go to whoever confirms first so expectations are set
    • Queue every offer in Twilio for approval. Do not send any standby offer automatically.

Done when A first-come offer text is queued in Twilio for each shortlisted standby guest, waiting for approval.

Questions, answered

Will it text standby guests without my approval?

No. Every offer is queued in Twilio and waits for you to approve it. You can reorder the list, edit the wording, or hold an offer before any text goes out.

How does it decide who gets offered a seat first?

It orders your Google Sheet standby list by who joined first and matches them to the open flight's date and launch site. It only shortlists as many guests as there are seats, so you do not oversell a flight.

What if the seats fill again before an offer sends?

It reads live availability in TripWorks each run, so flights that are full again are skipped. You approve offers only for seats that are genuinely still open at that moment.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
