How to Automate TownSq

TownSq's Automations route requests by category, the TownSq AI add-on drafts replies and answers residents before they file, and architectural reviews send their own reminders. Automating the rest means the work outside the app: vendor dispatch and follow-up, city permits behind conditional approvals and utility outages, which an AI agent such as WebRun can draft for the manager.

TownSq puts an HOA's residents, board and manager in one app

TownSq is a web and mobile app for HOAs and community associations. Residents pay assessments and dues, submit requests, reserve the clubhouse, read announcements and documents, and answer polls; board members and managers run the community from the other side of the same screens. Residents meet it as their community's own app, because the association or its management company chooses it.

Plans are priced by community size. Pro covers one community; Advanced, for two to ten, adds the TownSq Business workspace, architectural reviews, violations and inspection tracking, and the concierge tools for packages, guest access and shift logs; Enterprise, for more than ten, adds integrated community accounting. Digital voting is charged per voting event.

In a managed community the community manager keeps it moving, with a portfolio of associations in one TownSq Business workspace, an inspection tool for logging violations on a phone, and Ink Print and Mail for billing and delinquency letters.

The side gate request ends up in the manager's email

A resident files a request that the side gate will not latch. In TownSq it reaches the right manager, but the fix belongs to the gate company, which works from email. The manager finds the company in a spreadsheet, writes to them, waits for a date, then goes back to the request to tell the resident when someone is coming, and repeats all of it when the vendor reschedules.

Architectural reviews leave a loose thread of their own. The committee approves a new fence on condition that the owner pulls a city permit, and nobody checks whether the permit was issued until the fence is up and a neighbor asks why the rules apply to some owners and not others.

Residents also expect notice of the outages around them. The city posts a water main repair for Thursday, the power company lists a planned outage on the east side, and residents find out when the tap runs dry.

Conditional ARC approvals followed up Approvals that depend on a city permit checked against the city's permit search until the permit shows as issued.
Outage notices ready to broadcast Water and power outage notices from the utility's site turned into draft announcements for the manager to send.

Automations route each request and Suggested Reply drafts the routine answers

Automations, part of TownSq Business, route incoming requests by category, such as Maintenance, to the right manager or department, send automatic replies after hours or on holidays, and keep a log of every run. The TownSq AI add-on, $20 a month per community, adds Suggested Reply, which drafts answers to routine resident requests from the community's own documents and announcements, and Request Interception, which offers a homeowner up to three answers before they file the request.

Architectural reviews, included on Advanced or added for $20 a month, give the committee customizable forms, voting with the documents in one place and automated reminders. Admin users can send an emergency announcement as a text to residents who have opted in, with email and push notifications going to everyone, and TownSq prices Emergency Broadcast separately, per community.

The gate company's date arrives in the manager's email. Whether the city issued the fence permit is on the city's permit search, and the water outage is on the utility's own site.

Every maintenance request gets a vendor email drafted the day it arrives

Each new maintenance request could reach the manager matched by category to a vendor on the roster, with a dispatch email drafted that carries the address, the photos and the resident's access notes. When the vendor answers with a date, the manager could see it against the request and pass it on, and a request with no vendor reply after two days could land on the manager's follow-up list.

For an architectural approval that depends on a permit, the manager could learn from a weekly check of the city's permit search when the permit issues, or that a month has passed with nothing filed. A planned outage on one of the community's streets could reach the manager the morning it is posted, as a draft announcement short enough for an emergency text.

Vendor replies and permit news land on the TownSq request

A TownSq request or an architectural approval sits behind each of those drafts. WebRun is an AI agent that works a real Chrome browser; with the TownSq access the management company gives it, it reads new requests and approvals, then the vendor emails, the city's permit search and the utility pages.

Announcements and emergency texts go out only when the manager sends them through TownSq, and the architectural committee still votes on every application. Dispatch emails carry only the details a vendor needs, and the manager reviews each one before it leaves.

For maintenance, the vendor dispatch matches each new work order to a vendor on the roster and drafts the email for the manager to approve.

Questions people ask

What can Suggested Reply not answer?

Anything that is not in the community's own documents and announcements, which is what it drafts from. When the gate company is coming, or whether the city issued a permit, comes from outside TownSq; the agent brings those facts back so the manager's reply can include them.

Will it post announcements or send emergency texts?

No. It drafts them. An outage notice or a permit reminder waits for the manager, who sends it through TownSq's own announcements, including a text to residents who opted in where the community has Emergency Broadcast.

Does a self-managed board need TownSq Business for this?

No. Pro covers one community's requests, announcements and amenity reservations, and architectural reviews can be added for $20 a month. The vendor emails, permit checks and outage drafts start from requests and approvals on any plan, and the drafts go to the board member who handles requests.
