In short

How do I know when a family's prepaid consulting hours are running low?

WebRun compares each family's tracked time against their prepaid package in CounselMore every morning and flags anyone running low. It posts you a Slack alert ranked by who is closest to zero and drafts a friendly top-up note in Gmail, left unsent, so you can renew families early instead of discovering an empty balance mid-session.

  • You spot a low balance before a family hits zero mid-season
  • Renewal conversations start early, not after work has stalled
  • Every renewal note is drafted, never sent without your approval

Questions, answered

Will it email families about renewing without me?

No. The Slack alert is internal, and the top-up note is left as a Gmail draft. You review and send any renewal message yourself, so nothing about money reaches a family unapproved.

How does it calculate hours remaining?

It reads each family's prepaid package and logged time in CounselMore, then subtracts one from the other every morning, so the balance you see reflects the latest tracked sessions.

Can I set when it warns me?

Yes. Pick your low-balance threshold, such as two hours left or twenty percent remaining, and WebRun flags families the moment they cross it.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
