In short

How do I automatically remind acupuncture clients about expiring package credits?

WebRun scans Jane every morning for clients whose prepaid packages or visit credits expire within 14 days, then drafts a personalised reminder in Gmail for each one. Every message is queued unsent for your review, and a Slack alert flags urgent expiries, so clients keep their value and your schedule fills.

  • Clients use their credits before they lapse, protecting their investment
  • Practitioners spend seconds reviewing drafts instead of manually chasing package holders
  • Clients who already booked are skipped automatically from live Jane data

Questions, answered

Will it send expiry reminders to clients without my approval?

No. Every reminder is saved as an unsent Gmail draft. Nothing is delivered to a client until you review and send it.

Can I set a different look-ahead window than 14 days?

Yes. Tell WebRun your preferred window (for example, 7 or 21 days) and it will filter Jane accordingly on every run.

What if a client books an appointment before the reminder goes out?

It reads live package and booking data from Jane each morning, so any client who has already used or rebooked their credits is automatically excluded.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
