Automated Acupuncture Failed Payment Recovery

Every morning, WebRun opens Jane and finds clients with a failed or declined payment from the past 48 hours. It drafts a polite, professionally worded payment-update request for each client and queues it in Gmail for the practitioner to review before any contact is made.

In short

How do I automatically follow up on failed acupuncture payments?

WebRun opens Jane every morning, finds clients with a failed or declined payment from the past 48 hours, and drafts a polite recovery message for each in Gmail. Every draft is held unsent for practitioner review, and a Slack alert flags the queue so no failed payment sits unaddressed.

  • Failed payments are caught the next morning before they age into overdue balances
  • Practitioner reviews a polished draft in one click with no manual billing triage
  • Cleared payments are automatically excluded from the draft queue each morning

Questions, answered

Will it contact clients about failed payments without my approval?

No. Every recovery message is saved as an unsent Gmail draft and waits for your review. Nothing reaches a client until you approve and send it.

Does it retry the payment or just send a message?

WebRun drafts the client communication only. It does not retry charges. Payment retries are handled within Jane's billing settings according to your clinic's policy.

What if the client updates their card and the payment clears before I send the draft?

It reads live billing data from Jane each morning. If the payment has already cleared by the time you review the draft, you can simply discard it.

Put this on autopilot.
